The Financial Assistant is a key member of the team, partnering with financial advisors, clients, internal colleagues, and external business partners to facilitate the accurate and timely implementation of financial recommendations while delivering a high-touch, responsive client experience.

Key Responsibilities

Client Service and Relationship Support

• Serve as a reliable point of contact for clients, responding to service requests with professionalism, urgency, discretion, and follow-through.
• Provide proactive status updates throughout account opening, insurance application, underwriting, and ongoing servicing processes.
• Anticipate client needs, identify potential issues early, and coordinate timely resolutions that reinforce a high-quality client experience.
• Gather, organize, and maintain client information and supporting documentation in accordance with established workflows.
• Assist with client and prospect meeting preparation, scheduling, calendar management, follow-up items, and ongoing relationship support.

New Business and Case Management

• Prepare, review, submit, and track new investment account documentation and insurance policy applications with a high degree of accuracy.
• Manage the full lifecycle of insurance new business, from application submission and underwriting coordination through policy issue, delivery, and placement.
• Coordinate with advisors, clients, internal departments, carriers, custodians, and other external partners to obtain outstanding requirements and advance cases efficiently.
• Maintain accurate new business dashboards, workflow queues, and pipeline reports to ensure deadlines, requirements, and next steps remain visible and actionable.
• Escalate time-sensitive or complex matters appropriately and maintain ownership through resolution.
• Practice Operations and Process Excellence
• Approach responsibilities with a proactive, solution-oriented mindset and a commitment to operational excellence.
• Evaluate and enhance processes to reduce friction, improve efficiency, strengthen controls, and create a consistently exceptional client experience.
• Identify workflow gaps, service breakdowns, or recurring bottlenecks and recommend practical, scalable solutions.
• Maintain complete and accurate records within internal systems, including timely data entry, documentation, and activity tracking.
• Support email marketing initiatives and other client communications with careful attention to accuracy, presentation, and timing.

Reporting and Advisor Support

• Generate polished client and prospect reports, including Morningstar portfolio analyses and other investment-related materials.
• Prepare portfolio review reports, proposals, and presentation materials using the firm’s CRM and related technology platforms.
• Support advisors before and after meetings by assembling materials, confirming data, documenting follow-up items, and monitoring completion.
• Provide broad administrative and operational support that enables advisors to remain focused on planning, relationship management, and business development.
• Qualifications and Experience
• Demonstrated experience in financial services, wealth management, insurance, banking, or a similarly regulated, client-focused environment.
• Working knowledge of investment account opening, insurance new business, client servicing, and operational workflows.
• Exceptional organizational and time-management skills, with the ability to prioritize competing deadlines and manage multiple cases without sacrificing accuracy.
• Strong written and verbal communication skills, sound professional judgment, and a polished client-service presence.
• Advanced attention to detail and a consistent commitment to complete, accurate, and well-documented work.
• Proficiency with CRM systems, Microsoft Office applications, and financial-services technology; experience with Morningstar or comparable reporting platforms is highly valued.
• Ability to handle confidential client and business information with discretion and integrity.
