Sea Mar is a mandatory COVID‑19 and flu vaccine organization. Position Summary The Front Desk Receptionist is the liaison between the public and the facility. This position includes responsibilities such as front desk operations, patient scheduling, communication, and administrative support. Additional duties may be assigned as needed by the supervisor. Duties and Responsibilities Maintain a clean and healthy workspace and patient area. Perform all daily front desk activities and ensure completion. Answer the telephone and assist callers. Schedule and confirm patient appointments according to the Front Desk Manual. Maintain an average daily schedule of 21 patients per MD provider and 18 patients per ARNP/PA provider. Assist the medical/dental records department with scanning, indexing, sorting, filing, and chart retrieval. Distribute and screen all incoming and outgoing mail. Maintain a 100% collection rate by collecting patient account payments and balances. Assist patients in completing registration forms and accessing healthcare services. Inform patients about other Health Centers and community services. Accurately enter patient demographic information into the practice management system. Demonstrate knowledge and skills appropriate to the age and needs of patients served. Collaborate with the back office team to address Clinical Quality Measure gaps. Greet each patient upon arrival with a smile and polite tone. Answer each call within three rings and provide a sincere greeting. Keep hold time on calls under two minutes and check in with patients if necessary. Use AIDET communication skills when interacting with providers. Close chart notes within 24 hours of service. Support Follow My Health enrollment and other provider services. Adhere to the schedule and provide services by 8 a.m. each day. Qualifications High school diploma or General Education Degree (GED) required. Previous experience in a medical and/or dental setting preferred. Typing speed of 35 words per minute required; word processing skills desirable. Good written and verbal communication skills. Ability to troubleshoot office equipment. Good organizational and detail‑oriented skills. Ability to handle a multi‑line telephone system professionally. Bilingual English/Spanish preferred. Knowledge of medical records systems desirable. Basic arithmetic skills (addition, subtraction, multiplication, division) and use of a 10‑key adding machine. Must pass the pre‑hire competency test and the 90‑day probationary period competency test. Additional Requirements Annual TB test required. Annual influenza vaccine required unless medically or religiously exempted. If exempted, must wear a mask at all times during flu season. Pre‑hire and annual employee health screening required. Working Conditions The work environment is moderate to high noise, shared workspace, adequate lighting and equipment. Employees frequently stand, sit, turn and reach. The environment may involve repetitive motion and occasional lifting of items up to 50 pounds. Vision requirements include close, distance, color, peripheral, and depth perception.
