Shared Services Analyst - SoM, Integrated Resources - Finance (Multiple Openings)

Job Description School of Medicine (SoM)’s Integrated Resources - Finance team, established in June 2023 with the launch of Workday Finance, centralizes finance functions to enhance efficiency, ensure compliance, and streamline operations. The team standardizes financial processes to deliver high-quality, reliable services and supports SoM’s mission to improve public health. The Shared Services Analyst is a compliance-focused subject matter expert who ensures the accuracy, completeness, and compliance of financial and administrative transactions for multiple departments across the School of Medicine. The role audits incoming requests for compliance with UW and SoM policies, interprets policies, initiates and reviews transactions, and provides advisory support to client units. Analysts also contribute to day‑to‑day operations and continuous improvement initiatives aligned with University, State, and Federal requirements.

DUTIES AND RESPONSIBILITIES

Compliance Review, Transaction Processing, and Policy Interpretation (70%) Review and process or return financial transactions for correction, including accounting journals, travel reimbursements, purchasing requests, external invoicing, and other fiscal related transactions. Confirm alignment with University, State, Federal, and SoM policies before transactions are finalized. Interpret complex policy layers and provide guidance to departmental staff on transaction requirements. Act as a subject matter expert for assigned workstreams and advise client units on compliance concerns. Escalate high‑risk or unresolved compliance issues to the Supervisor or appropriate central office. Initiate transactions directly on behalf of clients when analysis is required. Process Improvement and Quality Assurance (20%) Identify recurring errors, process breakdowns, or risk areas and communicate findings to departments. Participate in cross‑pod discussions to share compliance knowledge and design solutions. Collaborate with supervisors, managers, and specialists to enhance processes and reduce error frequency. Contribute ideas to the development of standard operating procedures (SOPs) and training materials. Compile and report on metrics related to compliance, transaction timeliness, and quality for assigned workstreams. Participate in audits and assist in documenting compliance controls. Provide feedback on continuous improvement initiatives to enhance accuracy, efficiency, and client service. Training and Knowledge Sharing (10%) Support onboarding of new Integrated Resources - Finance team members. Prepare and deliver compliance‑focused training sessions for department staff. Participate in knowledge‑sharing sessions with Specialists and Supervisors to maintain consistent standards.

MINIMUM REQUIREMENTS

A Bachelor’s Degree and two years of customer‑service experience in a HR, payroll, procurement, and/or finance business unit. Equivalent education and/or experience may substitute for minimum qualifications except where legal requirements apply (e.g., license, certification, registration).

DESIRED QUALIFICATIONS

Experience with University of Washington financial systems, policies, and procedures. Strong analytical skills and ability to interpret complex regulations. Proven ability to work independently while managing multiple priorities in a high‑volume environment. Effective communication skills, able to explain compliance requirements to non‑experts.
