The Employment Screening Coordinator supports the HR Shared Services department by delivering responsive and accurate employment screening services to corporate, hub, and field office locations. This role focuses on coordinating drug and alcohol testing, occupational health screenings, and related processes while providing high-quality customer service to internal partners. The coordinator serves as a key liaison between field support teams, corporate partners, and external screening vendors to ensure timely, compliant, and efficient screening activities.

Responsibilities

• Provide customer service and support to corporate, hub, and field office locations on all employment screening matters, including drug and alcohol testing and occupational health screenings.
• Assist the Employment Screening functional team with guidance and administrative processing related to screening activities.
• Review, research, and respond to a high volume of alias emails related to employment screening, including pre-employment testing, post-accident and reasonable suspicion drug screening, drug test result status, and occupational health screenings.
• Review and process drug test exception requests and medical record requests in a timely and accurate manner.
• Review and process Non-DOT safety-sensitive test results, ensuring appropriate handling and documentation.
• Support and coordinate various drug and medical screening processes, including scheduling drug tests and setting up medical screening packages with vendors.
• Prepare and mail non-negative notices for positive drug test results, in accordance with applicable state laws and internal procedures.
• Review and verify medical marijuana cards and approve them as appropriate based on established guidelines.
• Monitor, review, and respond to all incoming team alias emails within HR systems, ensuring prompt and professional communication.
• Communicate candidates’ eligibility and required actions clearly and effectively to field support groups, both verbally and in writing.
• Respond to pre-employment screening questions, clinic issues, and general inquiries from field offices and corporate partners via phone and email.
• Act as a liaison between operating company field offices, corporate partners, and employment screening vendors to resolve issues and ensure smooth screening processes.
• Provide regular reporting to operating companies, including daily and weekly reports related to employment screening activities.
• Assist with ad-hoc projects, tasks, and administrative duties as needed within the HR Shared Services and Employment Screening functions.
• Complete client attestations related to health and safety requirements as requested.
• Mail non-negative results and related notices as required by state law and company policy.
• Answer questions from field personnel regarding employment screening processes, policies, and status updates.
• Use Microsoft Excel and other tools to generate, update, and maintain reports related to employment screening and HR activities.

• Strong customer service skills with the ability to support internal partners in a professional and responsive manner.
• Demonstrated initiative and willingness to drive change and accountability within processes and workflows.
• Strong problem-solving skills with the ability to prioritize work and manage multiple tasks simultaneously.
• High attention to detail to ensure accuracy in processing screening requests, results, and documentation.
• Ability to communicate clearly and effectively with all levels of the organization, both in written and verbal form.
• Proficiency in Microsoft Excel, Word, and Outlook for reporting, documentation, and communication.
• Experience providing administrative support in a Human Resources, HR assistant, or HR representative capacity.
• Experience working with employment screening processes, including drug and alcohol testing and occupational health screenings.
• Ability to work effectively in a team-oriented environment that values openness and honesty.
• Comfort working standard business hours of 8:00 a.m. to 5:00 p.m. EST, with flexibility as needed.

• Experience in employee screening, including pre-employment and post-incident testing, is highly beneficial.
• Background in employee relations or benefits support is an advantage.
• Experience handling high-volume email queues or shared inboxes in a professional setting.
• Familiarity with HR Shared Services environments and HR information systems.
• Ability to produce and interpret HR-related reports using Excel and other reporting tools.
• Strong organizational skills and the ability to manage competing priorities in a fast-paced environment.
• Comfort interacting with external vendors and internal stakeholders to resolve issues and coordinate services.

This role is based on-site and follows a Monday through Friday schedule, generally from 8:00 a.m. to 5:00 p.m. EST. The position requires consistent presence in an office environment, working closely with HR Shared Services and other corporate and field teams. There may be occasional requests for weekend hours, so candidates should be flexible and able to adjust their schedules when business needs arise. The work involves frequent use of computers, HR systems, email, and Microsoft Office applications, as well as regular phone and written communication with internal partners and external vendors. Job Type & Location

This is a Contract to Hire position based out of Hanover, MD.

The pay range for this position is $20.00 - $22.00/hr.
