The Specialist provides project management of various initiatives, supports building a strong team and performs a wide range of administrative functions to facilitate efficient operation of the Hearing Office. The Specialist also provides exemplary customer service to both internal and external stakeholders. Essential Duties and Responsibilities: Designs systems, structures, processes, and tools for effective project management of theHearing Office department operations and initiatives. Monitors and provide supports for student transitions from school to school Plans, initiates and carries to completion office support activities. Composes non-routine letters, answers telephone, and informs and advises the public, students and faculty on a variety of matters related to departmental operations and policies by telephone or through personal contact. Maintains logs on incoming correspondence and action documents and follows up on work in progress to ensure timely response or action. Operates a personal computer and related equipment to produce correspondence, reports,charts and other materials using numerous management techniques to enter, edit, print and file data. Greets customers in person or on the telephone; answering or referring inquires. Maintains customer confidence and protects operations by keeping information confidential. Performs fiscal duties including, budget management, payroll and purchasing. Secures information by completing database backups. Provides historical reference by utilizing filing and retrieval systems. Maintains the department website and other communication tools. Performs other duties as assigned. Qualifications: Bachelor’s degree required. Minimum 3 years of experience in office and budget management. Strong analytical skills and problem-solving abilities. Ability to establish and maintain effective working relationships with departments, administrators, school officials and employees. Authentic, effective, and professional communication style including the ability to communicate effectively in person and by email and phone. Ability to adapt quickly to changing priorities and to work on multiple competing assignments simultaneously. Experience using Microsoft Office software and Google Suite. Bilingual/fluency in Spanish preferred. EOE.
