Associate Executive Director

Position Overview Working closely with the Executive Director, the Associate Director provides strategic and day-to-day leadership at Grace Guest House (Grace House). This position directly supervises the Operations Manager and Guest Services team, oversees organizational systems and processes, and helps cultivate relationships with healthcare, community, and philanthropic stakeholders. The Associate Director serves as the Executive Director's designee when needed, representing Grace House internally and externally and ensuring continuity of leadership. Primary Responsibilities Serve as a member of Grace House's Leadership Team, contributing to strategic planning, organizational priorities, and long-term sustainability. Serve as acting organizational leader in the Executive Director's absence, reporting directly to the Board of Directors and providing oversight and decision-making authority as appropriate. Directly supervise, coach, and evaluate the Operations Manager and Guest Services staff, fostering a culture of accountability, collaboration, and exceptional guest care. Support recruitment, onboarding, training, scheduling, and professional development of operational, program, and bookkeeping staff and volunteers. Ensure organizational policies, procedures, and standard operating practices are implemented consistently across departments. Monitor organization performance, identify opportunities for improvement, and implement systems that increase efficiency and organizational effectiveness. Provide oversight of the organization's financial administration, including review of invoices, expense coding, monthly reconciliations, and financial reporting. Assist the Executive Director with annual budgeting and ongoing financial management; prepare reports and organizational metrics to support leadership and Board decision-making. Provide strategic oversight of vendor relationships, contracts, and major operational projects, ensuring alignment with organizational priorities, approved budgets, and funder intent. Directly oversee risk management activities, including insurance claims, incident reporting, safety procedures, emergency preparedness, and compliance. Cultivate and maintain relationships within the community to strengthen sustainability, collaboration, and community engagement. Participate in tours, presentations, and relationship-building activities as needed. Support the organization's fund development strategy by assisting with donor stewardship, sponsorship fulfillment, grant implementation, and other fundraising initiatives to help reach annual revenue goals. Represent Grace Guest House in donor, sponsor, and community meetings as delegated, and provide leadership for development activities in the Executive Director's absence. Stay informed on trends and best practices in healthcare hospitality and nonprofit management. Promote a culture of continuous learning, hospitality, safety, and excellence. Participate in after-hours coverage as needed. Perform other duties as assigned by the Executive Director. Job Qualifications Bachelor’s Degree and 3 years relevant work experience, or a combination of education and relevant work experience; previous leadership and/or people management experience required. Ability to think strategically, anticipate future consequences and trends, and incorporate them into an organizational plan. Demonstrated ability to make good decisions through a combination of analysis, experience, and sound judgment. Strong leadership, communication, coaching, and relationship-building skills. Proficiency in using various computer programs, including a reservation system, donor database, and Microsoft applications. Ability to work compassionately and effectively with people of diverse backgrounds and life experiences. Demonstrated ability to manage multiple priorities while maintaining exceptional attention to detail. A sense of responsibility and commitment to the Healthcare Hospitality House concept and the ability to effectively communicate its mission.
