Overview
Join our dynamic team as an Office Administrative Assistant and become the vital backbone of our daily operations! In this energetic role, you will be the first point of contact for visitors and callers, manage essential administrative tasks, and ensure the smooth functioning of our office environment. Your organizational skills and proactive attitude will help foster a welcoming atmosphere while supporting various departments with clerical and customer service needs. This paid position offers an exciting opportunity to develop your office management expertise in a fast-paced, engaging setting.


Responsibilities

  • Answer phones, greet visitors and speak with distributors,
  • WORK ORDERS: Prepare approved work orders, follow up with customer / tech on work oder completion, assist w/ quote preparations, prepare approve worked orders, assist with scheduling work orders for techs.
  • ADMINISTRATIVE DUTIES:
  • Answer phones, greet and assist customers and distributors.
  • Schedule job site visits for tech repairs with customers.
  • Assist with sign off sheets, ensuring accuracy and completion.
  • Upload pictures and documents to server.
  • CLERICAL DUTIES :
  • Data entry, typing documents, filing, printing, copying, scanning, searching for materials, marketing, monitor emails, by checking and responding.
  • Handle calendar management and scheduling for team meetings, appointments, and events with precision
  • Assist with office management duties such as supply inventory, organization of common areas, and maintaining a clean workspace
  • Provide clerical support including proofreading documents, preparing reports, and managing correspondence
Skills
  • Must be able to prioritize.
  • Must be able to multi-task.
  • Bilingual abilities are a plus to serve diverse client needs better
  • Experience in customer service or customer support roles to foster positive interactions
  • Knowledge and experience with Microsoft Office.
  • Strong proofreading skills to ensure professional quality in all communications
