Position Summary:
We are seeking a highly organized and detail-oriented Office Manager with strong Accounts Payable experience to support daily operations in a fast-paced industrial setting. This role is responsible for managing financial transactions, vendor relationships, administrative functions, and ensuring smooth office operations while maintaining accuracy and compliance.
The ideal candidate thrives in a structured, production-driven environment and understands the rhythm of manufacturing operations, vendor billing cycles, and job cost tracking.
Key Responsibilities:
Accounts Payable & Financial Duties:
- Process high-volume vendor invoices accurately and timely.
- Perform 3-way matching (purchase order, receiving, invoice).
- Code invoices to correct general ledger accounts.
- Prepare and process weekly check runs and ACH payments.
- Reconcile vendor statements and resolve discrepancies.
- Maintain accurate AP aging reports.
- Assist with month-end close and financial reporting.
- Support audits and maintain documentation compliance.
Office Management & Administrative Duties:
- Oversee daily office operations in an industrial setting.
- Manage office supplies, service contracts, and vendor relationships.
- Support payroll processing and timekeeping coordination.
- Maintain employee files and onboarding documentation.
- Assist leadership with reporting and operational support.
- Coordinate with production, purchasing, and warehouse teams.
- Ensure compliance with company policies and procedures.
Qualifications:
- 3+ years of Accounts Payable experience (industrial or manufacturing environment preferred).
- 2+ years of office management or administrative leadership experience.
- Strong understanding of purchase orders, job costing, and inventory systems.
- Proficiency in accounting software (QuickBooks, Sage, NetSuite, or similar ERP systems).
- Strong Microsoft Excel skills.
- High attention to detail and organizational skills.
- Ability to multitask and prioritize in a deadline-driven environment.
