Construction Bookkeeper / Budget Analyst

About the Role

M.R. Design & Build is seeking an experienced Construction Bookkeeper who is detail-oriented, analytical, and proactive. This position is ideal for someone with a strong background in construction accounting, job costing, and budget tracking who can support both the financial and operational side of active construction projects.

The ideal candidate will be responsible for managing daily bookkeeping operations while working closely with project managers to monitor budgets, track costs, forecast expenses, and maintain accurate financial reporting across all projects.

Key Responsibilities:

Financial Management

• Record all financial transactions accurately using QuickBooks, including invoices, bills, receipts, and payments
• Track and categorize expenses with proper job costing and supporting documentation
• Record client payments including deposits, progress payments, and final payments
• Generate and send invoices according to contract schedules
• Manage accounts payable and coordinate timely payments to vendors and subcontractors
• Monitor accounts receivable and follow up on outstanding balances
• Perform monthly bank and credit card reconciliations
• Process payroll accurately, including taxes and deductions

Budget Oversight & Project Coordination

• Review project budgets prepared by project managers and verify alignment with approved estimates
• Track labor costs, material budgets, allowances, and change orders across active projects
• Prepare weekly budget forecast reports comparing projected vs. actual costs
• Assist with material takeoffs and verify purchase orders remain within budget
• Work closely with project managers to identify cost overruns early and recommend solutions
• Maintain and update master budget tracking sheets for all projects

Reporting & Compliance

• Prepare weekly and monthly financial reports including:
• • Job costing summaries
  • Profit & loss statements
  • Cash flow reports
  • Balance sheets
• Support annual forecasting and budget planning
• Maintain organized digital and physical financial records
• Assist with audits and provide supporting documentation as needed
• Recommend improvements to financial tracking systems and workflows

Qualifications

• 35 years of bookkeeping or accounting experience in the construction industry required
• Strong understanding of construction job costing, budgeting, and financial tracking required
• Proficiency in QuickBooks and Microsoft Excel, including formulas, spreadsheets, and data organization
• Experience with budget forecasting and cost variance analysis
• Strong organizational, communication, and time-management skills
• Ability to work independently and in a fast-paced team environment
• Valid drivers license and reliable transportation preferred for occasional job site visits
• Associates or Bachelors degree in Accounting or Finance preferred
• CMA certification is a plus
