A four-day work week, Monday through Thursday, may also be considered.
The Negev Foundation is seeking a friendly, organized, and proactive Office Manager / Administrative Coordinator to support daily operations, donor engagement, communications, and administrative needs for our Cleveland-based nonprofit organization. Position Overview
The Office Manager / Administrative Coordinator will support the Foundation’s day-to-day operations, donor relations, communications, campaign activities, records management, and office administration. The ideal candidate is highly organized, detail-oriented, dependable, comfortable with technology, and able to manage multiple priorities in a warm, collaborative nonprofit environment.
Key Responsibilities
Office Administration & Organization
• Maintain efficient office procedures, organizational systems, document organization, and digital file management.
• Handle general office tasks including filing, typing, copying, scanning, mailings, supply ordering, and related administrative duties.
• Monitor and respond to general email, answer and direct phone calls, monitor voicemail, and help ensure timely communication with donors, community members, vendors, and partners.
• Maintain the Foundation calendar, internal schedules, meeting logistics, office workflow, and electronic meetings, including Zoom meetings and calendar invitations.
• Maintain office inventory, including envelopes, stamps, copying supplies, printed materials, display materials, and other necessary supplies.
Donor Database, Campaigns & Development Support
• Maintain and update the Foundation’s donor database, constituent records, volunteer records, community engagement lists, and related contact information.
• Enter donations into the donor database, assist with recordkeeping, prepare bank deposits, and facilitate financial transactions as directed.
• Support campaign tracking, donor reports, program development materials, donor stewardship, fundraising, grant reporting, and program updates.
• Assist with annual and semiannual campaign activities, including preparing solicitation letters, coordinating printing, organizing mailings, and helping oversee brochures and donor materials.
Communications & Community Engagement
• Support newsletters, email campaigns, social media updates, announcements, event communications, and other outreach within the Jewish and broader community.
• Maintain accurate contact lists for donors, volunteers, community partners, and other constituents.
• Assist with promotional materials, community updates, donor communications, event invitations, and campaign materials.
• Support efforts to increase public awareness and understanding of the Foundation’s mission and impact.
Program, Event & Staff Support
• Work closely with Foundation staff to develop, plan, execute, and evaluate programs, campaigns, events, and initiatives.
• Support the Foundation President, Executive Director, and other staff with timely preparation and distribution of meeting materials.
• Assist with special events, community programs, donor meetings, board meetings, volunteer activities, and other administrative tasks as assigned.
Qualifications
• Bachelor’s degree or equivalent professional experience preferred.
• Prior experience in office administration, nonprofit work, donor relations, special events, volunteer coordination, communications, or community-based organizations is strongly desired.
• Strong organizational skills, attention to detail, adaptability, initiative, follow-through, and the ability to manage multiple priorities independently and professionally.
• Comfort working in a small, mission-driven nonprofit environment.
• Interest in, familiarity with, or willingness to learn about Jewish cultural life, traditions, and the mission of The Negev Foundation.
• Excellent written and verbal communication skills and a professional, welcoming manner with donors, volunteers, community members, board members, staff, and vendors.
• Proficiency with Microsoft Office Suite required.
• Experience with Publisher, Canva, Zoom, email marketing platforms, donor or CRM databases, online event registration systems, social media platforms, and basic financial tracking tools is strongly desired.
• Familiarity with Constant Contact or similar email marketing tools is a plus.
• Knowledge of AI tools such as ChatGPT, Claude, or other AI programs is strongly desired.
Compensation & Benefits
Starting salary for a full-time position is $50,000–$60,000, depending on prior work experience.
Benefits include generous vacation time, sick time off, paid U.S. and Jewish holidays, partial reimbursement for medical insurance, and a 401(k) plan.
Schedule
This is a full-time, on-site position based in Cleveland/South Euclid, Ohio. A four-day work week, Monday through Thursday, may also be considered.
