Job Description
The Administrative Assistant 1 performs a wide range of complex administrative functions, providing primary support to a senior leader and secondary support to a larger engineering team. This onsite role focuses on calendar and schedule management, travel coordination, meeting and event planning, and support for department financial, personnel, and facility operations. The position is ideal for someone who enjoys being busy, partnering with a large team, and handling a variety of tasks in a dynamic environment.

This position is fully onsite, five days per week, supporting a large engineering team in Building 7. The role follows a standard Monday through Friday schedule, approximately 40 hours per week, with core daytime hours and no expected overtime.

Pay and Benefits
The pay range for this position is $28.00 - $28.00/hr.

Job Description

The position is ideal for someone who enjoys being busy, partnering with a large team, and handling a variety of tasks in a dynamic environment.
Responsibilities
- Manage complex calendars, including a potential GM-level calendar, ensuring meetings, appointments, and events are scheduled efficiently and conflicts are resolved promptly.
- Coordinate travel arrangements, including booking transportation, lodging, and preparing detailed itineraries for individuals and teams.
- Plan, coordinate, and support meetings and events, including logistics, room scheduling, materials preparation, and organizing morale and team-building activities.
- Provide onsite administrative support for employees in Building 7, serving as a reliable point of contact for day-to-day needs.
- Support department financial, personnel, and facility operations by preparing documentation, tracking information, and coordinating with relevant stakeholders as needed.
- Partner closely with other administrative staff and employees from diverse backgrounds to ensure smooth operations and positive collaboration across a large engineering team.
- Assist with onboarding new hires, including workspace setup, equipment coordination, and ensuring access to necessary tools and systems.
- Support offboarding processes, including coordinating equipment return, workspace changes, and access removal as directed.
- Manage office and space organization, including space planning, coordinating desk assignments, and maintaining an orderly work area.
- Perform physical tasks as needed, such as pushing carts with equipment and organizing materials for events or team activities.
- Respond promptly and professionally to requests from team members, demonstrating strong responsiveness in a busy environment.
- Complete special projects as assigned, taking ownership of tasks and following through to successful completion.
- At least 2 years of administrative support experience in an office environment.
- 2 years of experience with office management responsibilities.
- 2 years of experience supporting onboarding and offboarding processes.
- 2 years of customer service experience, with a focus on responsiveness and professionalism.
- 1-2 years of calendar management experience, preferably supporting senior-level leaders.
- Basic knowledge and actual work experience using Outlook for email and calendar management (minimum 2 years).
- Beginner-level experience with Excel and the ability to use it for basic tasks.
- Strong assertiveness and confidence to manage a senior-level calendar and communicate effectively with stakeholders.
- Reliable transportation to work onsite 5 days per week.
- Ability to perform physical tasks, including pushing carts with equipment and organizing materials.
- High level of honesty and integrity, with the ability to own mistakes and learn from them.
- Strong responsiveness and ability to work effectively in a busy, large engineering team environment.
- Experience partnering with other administrative professionals in a large team setting.
- Comfort working with employees from various backgrounds and disciplines.
- Ability to handle a wide variety of tasks and switch priorities as needed.
- Organizational skills to support space management and event coordination.
- Willingness to support morale events and team-building activities.
- Interest in working in a fast-paced, engineering-focused environment.
