Integrated Health 21 is seeking organized, dependable, and customer-focused Scheduling Assistants to support onsite employee health screening events. This is a PRN, as-needed position, with work scheduled based on client event needs.

Scheduling Assistants play an important role in the participant experience by coordinating health coaching appointments after employees complete their biometric screenings. Because most screening events are held before the workday begins, this position requires the ability to work early morning shifts, with start times commonly ranging from 3:30 AM to 6:00 AM. Event lengths vary depending on client size and location, with most shifts lasting 4 to 8 hours. Travel to assigned event locations is required.

To provide exceptional customer service while accurately scheduling participants for follow-up health coaching appointments during onsite employee wellness events.

Primary duties and responsibilities include:

• Welcome participants and provide a professional, friendly experience.
• Schedule participants for health coaching appointments following completion of their biometric screening.
• Verify participant information and ensure appointment details are accurate.
• Assist participants with questions regarding the scheduling process.
• Accurately enter and maintain participant information using electronic scheduling systems or tablets.
• Coordinate with onsite screening staff to maintain an efficient participant flow.
• Maintain strict adherence to HIPAA and confidentiality standards.
• Assist with event setup and breakdown as needed.
• Perform additional administrative or event support duties as assigned.

Physical demands include:

• Ability to work in a variety of client-site environments.
• Ability to stand or sit for extended periods throughout the event.
• Ability to use a computer or tablet for extended periods.
• Ability to lift and carry event materials weighing up to 25 pounds.
• Ability to work early morning start times (often beginning between 3:30 AM and 6:00 AM) and shifts lasting several hours.
• Ability to travel to assigned event locations.

Qualifications include:

• High school diploma or GED required.
• Previous experience in customer service, scheduling, administrative support, or healthcare preferred.
• Strong computer skills and ability to learn web-based scheduling platforms.
• Excellent communication and interpersonal skills.
• Strong attention to detail and organizational skills.
• Ability to work independently while collaborating with an onsite team.
• Professional demeanor and commitment to providing outstanding customer service.
• Reliable transportation to assigned event locations.
• Ability to reliably arrive for early morning event start times.
