We are excited to announce that we are seeking a dedicated and organized Admin Manager to join our team! In this role, you will handle clerical and administrative duties, ensuring the smooth operation of our office and contributing to the success of our healthcare services.

15-20 hours per week

Tues/Wed/Thurs or Tues/Thurs/Fri

Responsibilities include:

• Drafting correspondences and formal documents
• Planning and scheduling appointments and training sessions
• Greeting and assisting onsite guests
• Answering inbound phone calls
• Developing and implementing filing systems
• Managing daily office operations
• Providing administrative support to our healthcare team
• Scheduling, handling correspondence, and office communications
• Maintaining records and documentation
• Assisting with patient and client inquiries
• Conducting home visits to ensure clients' welfare
• Managing client intake processes, including onboarding and paperwork
• Coordinating and conducting employee orientation, training on compliance, and job expectations
• Handle billing, invoicing, and payment tracking
• Create and update promotional materials, flyers, social media graphics, and other visual content using Canva.
• Update and maintain the organization’s website, ensuring information, events, and resources are current.

Qualifications:

• Previous experience in office administration or related fields
• Strong multitasking and prioritization skills
• Excellent written and verbal communication abilities
• Strong attention to detail and organizational skills
• Proficiency in office software (e.g., MS Office, email systems)
• Familiarity with 245D-related procedures and regulations (a plus)
• Ability to handle confidential information with discretion
• Strong problem-solving and time management skills
• Experience with client intake and employee orientation
• Ability to work independently and as part of a team
• Basic understanding of healthcare procedures and terminology
