Position Summary Under the direction of the Admitting Manager, the Patient Access Representative is responsible for interviewing incoming patients (inpatient, outpatient, and emergency department) to obtain all pertinent data for admission and produce a complete and accurate admission record. This includes medical record information, as well as demographic and financial related information. The representative answers all inquiries related to admissions, collects deposits or payments, interacts with nursing units and ancillary departments, and provides directions to various areas within the hospital. Essential Job Functions And Core Responsibilities Acknowledging patients or guests and their requests. Appearance professional in dress, grooming and hygiene. Assists in the training of new employees. Demonstrates awareness and sensitivity to the rights of patients and significant others, as identified within the situation. Document any financial arrangements made in the patient’s account notes. Notifies the Admitting Manager or Business Office Manager of all problem accounts that require special attention. Exhibits concern, tact and discretion in all working relationships. Functions with an awareness of safety issues and reports unsafe issues appropriately. Upholds the highest service standards regarding patient care. Prioritizes patient needs. Work and cross train in all areas including Inpatient, Outpatient, Bed Board, and Emergency Room. Familiar with the Hospital layout to direct patients or guests to the proper destination. Physically able to push a wheelchair. Willing to meet staffing needs of the department and be available to work overtime, holidays, and shift changes. Remains informed and compliant with HIPAA, EMTALA, Fair Debt and Collection Practices Act, Medicare Secondary Payer, and other laws and regulations governing Patient Financial Services. Remains informed regarding all PPO, HMO, Medicare, Medi-Cal and indigent service programs and requirements for timely claims processing. Offers assistance promptly, cordially, and completely. Patient care is of utmost priority; comfortable with sick patients and able to summon medical assistance. Must be BLS certified each year. Patient valuables monitored in accordance with Hospital policy and procedure. Performs other duties as assigned. Promotes unity and teamwork among co-workers and other departments. Handles confidential information appropriately while at work and away from the facility. Completely completes the patient’s electronic medical record and ensures that all appropriate paperwork is sent in a timely fashion. Obtains Advance Directive information from inpatient, ER, OPS, and bed patients. Accurate data entered in the system and on Conditions of Admission. Communicates the patient’s financial responsibility, collects deposits on all self‑pay patients and co‑payments from patients whose insurance requires one, and arranges payment plans when necessary. Compiles all patient information to produce a complete and accurate admission record, including correct medical record numbers, current data, insurance and identification cards, authorizations, signatures on all forms, and accurate insurance and demographic information. Participates in the organization-wide Performance Improvement Program through orientation, education, departmental and inter‑departmental quality control and planning activities. Understands Consent forms, Advance Directives and any other required forms, ensuring patients are well informed before signing. Meets the department productivity goal of registering a minimum of 20 patients per shift and performs registrations within 20 minutes. Maintains an account accuracy rate of no less than 80%. Completes shift logs in the Emergency Department. Understands and demonstrates ability of all courses designated within 90 days of hire for new employees and within one year for current employees; passes a competency test every two years from the original completion date. Job Requirements Education: Minimum High School diploma or equivalent. Work Experience: Minimum 2 years of customer service experience. Licenses and Certifications: Must be BLS certified or provide BLS certificate within 30 days of hire; M.A.B. certification required for new hires within 6 months of hire.
