Description

The Practice Manager is responsible for overseeing the day-to-day operations of assigned physician practice locations, ensuring efficient workflows, exceptional patient service, regulatory compliance, and achievement of operational and financial goals. Working collaboratively with physicians, clinical leaders, and administrative teams, the Practice Manager provides leadership, coaching, and operational oversight to support practice growth, employee engagement, and high-quality patient care.

Responsibilities/Duties

Operations Management

• Oversee daily operations of front office, patient access, scheduling, call center, revenue cycle, and administrative functions.
• Optimize workflows and operational processes to improve patient access, throughput, efficiency, and service quality.
• Monitor and analyze key operational and financial performance indicators, implementing improvements as needed.
• Ensure effective coordination between providers, clinical staff, and administrative departments.
• Manage facility operations to maintain a clean, organized, safe, and professional environment.
• Lead and support special projects, operational initiatives, and process improvement efforts.

Leadership & Staff Development

• Provide direct supervision, coaching, mentoring, and performance management for practice staff and supervisors.
• Participate in recruitment, interviewing, onboarding, and retention of high-performing team members.
• Conduct regular performance evaluations and support employee development plans.
• Foster a positive, collaborative culture focused on accountability, teamwork, and continuous improvement.
• Ensure staff receive appropriate training and maintain competency in organizational policies, procedures, and customer service standards.
• Manage staffing schedules, time-off requests, and workforce planning to ensure adequate coverage.

Patient Experience

• Promote a culture of exceptional customer service and patient-centered care.
• Address and resolve patient concerns, complaints, and service recovery situations in a timely and professional manner.
• Monitor patient satisfaction metrics and implement strategies to improve the patient experience.
• Ensure efficient patient flow from scheduling through checkout and follow-up care.

Financial & Administrative Oversight

• Support revenue cycle performance through effective scheduling, registration, charge capture, and collections processes.
• Monitor practice productivity, expenses, and budget performance.
• Reconcile patient payments and cash handling procedures, as applicable.
• Assist with budget planning and operational forecasting.
• Identify opportunities to improve financial performance while maintaining quality patient care.

Compliance & Quality

• Ensure compliance with applicable healthcare regulations, organizational policies, and safety standards.
• Serve as a resource for staff regarding operational policies and regulatory requirements.
• Support quality improvement initiatives and risk management activities.
• Maintain confidentiality of patient, employee, and organizational information.

Qualifications

Qualifications:

• +5 Years Experience in management in healthcare related field
• Superior verbal and written communication and interpersonal skills
• Diligent and proactive results-driven personality
• Exceptional organizational and leadership skills
• Proficient in MS Office and computer systems
• Collaborative and able to motivate and energize cross functional team members to achieve aggressive goals
• Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or related field preferred.
