Patient Services Representative

Location: NYC, NY Duration: 2 months Contract Schedule: Monday-Friday, 8:30am-4:30pm Hourly rate: $21/ hour on W2 Negotiable

Job Duties

• Schedule patient appointments in Epic/IDX, including ancillary services.
• Make appointment reminder and no-show calls; provide schedule information to the practice.
• Print schedules and confirm appointments.
• Complete accurate patient registration, including clinical, financial, and demographic information.
• Verify and maintain patient data integrity in Epic/Eagle/IDX systems.
• Collect patient payments, including faculty practice charges, hospital charges, and co-payments.
• Match payments to corresponding charges/superbills and complete required payment documentation.
• Reconcile daily cash collections and deposits with the Patient Service Coordinator.
• Verify insurance eligibility and understand New York State third-party payer requirements.
• Complete visit encounters and enter ICD-9-CM/CPT-4 codes into the appropriate system.
• Reconcile charges against original source documents.
• Refer complex billing issues to the Patient Service Coordinator.
• Process managed care referrals.
• Greet, check in, and assist patients, families, and visitors.
• Prepare and process required patient forms.
• Provide directions, arrange transportation, and assist patients with other needs.
• Monitor patient flow in the waiting room and proactively address registration and post-visit issues.
• Maintain effective communication with patients, families, coworkers, and healthcare team members.
• Order and maintain adequate clerical supplies and equipment.
• Assist with training, orientation, and education of entry-level and float staff.
• Perform clerical duties such as batching encounter forms, retrieving lab results, sorting mail, filing, and data entry.
• Collect research data and perform other clerical tasks as assigned.
• Identify, report, and resolve problems effectively.
• Set priorities and organize work efficiently.
• Identify and report staffing concerns to the appropriate manager or administrator.
• Maintain excellent customer service through courtesy, professionalism, cooperation, and tact.
• Follow and support the Ambulatory Care Customer Relations Program.
• Perform other duties as assigned by the Administrator or Patient Service Coordinator.
• Provide patient support appropriate to the physical, psychosocial, educational, safety, and age-related needs of patients.

Required Skills & Qualifications

• Epic experience required, including:
• Epic scheduling
• Registration/arrival
• Insurance verification
• Working knowledge of medical terminology.
• Knowledge of insurance eligibility and third-party payer requirements.
• Strong customer service and communication skills.
• Excellent organizational and time-management skills.
• Ability to prioritize tasks and manage multiple responsibilities.
• Strong attention to detail and data accuracy.
• Problem-solving and critical-thinking skills.
• Ability to work effectively with patients, families, providers, and healthcare staff.
• Bilingual English/Spanish preferred
