Construction Office Clerk

Construction Office Clerk RTI is currently seeking an experienced Construction Office Clerk with experience managing and inputting information based on project specifics. You will support project management teams by providing administrative, data input, and document control assistance, ensuring that projects run efficiently and meet cost, schedule, and compliance requirements. Role Overview The Construction Office Clerk is a highly organized, detail-oriented administrative and coordination role, that works closely with project managers, engineers, and corporate systems. The position ensures that all project-related documentation is controlled, schedules are coordinated, and reporting is accurate and timely
Key Responsibilities

- Document Control & Administration : Maintain and manage project-related documents, ensuring proper filing, retrieval, and compliance with corporate systems
- Work Order & Maintenance Tracking : In facilities or engineering contexts, receive, review, and process service requests/work orders; enter and update data in CMMS or similar systems to track labor hours, parts usage, and completion status
- Reporting : Prepare recurring reports on service performance, work backlog, manpower utilization, and equipment downtime; maintain logs of open, in-progress, and completed tasks
- Coordination : Serve as a liaison between facility users, supervisors, technicians, and corporate staff to ensure clear communication and timely service delivery
- Compliance Monitoring : Ensure workflow compliance with Performance Work Statements (PWS) and contract requirements
- Administrative Duties : Perform filing, document scanning, correspondence support, and other clerical tasks as needed
- Education: High School degree or equivalent
- Experience : At least 5 - 8 years in data entry similar to work order processing, A/R & A/P inputting, maintenance scheduling, administrative support, or related fields
- Technical Skills : Proficiency with Microsoft Office Suite (Excel, Outlook, Word), CMMS or maintenance tracking systems and office equipment
- Knowledge : Working knowledge of document control procedures, and maintenance scheduling
- Soft Skills : Strong organizational skills, attention to detail, ability to manage multiple tasks
- Communication Skills: Must have professional English skills both verbal and written
- Customer Service Skills: Must be comfortable professionally interfacing with internal and external individuals
