Job Details
We are seeking a highly organized and personable Legal Assistant to serve as the first point of contact for clients while also supporting the closing process. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in accuracy and client service. Key Responsibilities:
- Serve as the front office point of contact, greeting clients and managing incoming communications
- Answer, screen, and direct phone calls with professionalism and efficiency
- Coordinate appointments, meetings, and closing schedules
- Assist with real estate closing files, including document preparation, scanning, and disbursement of funds
- Request and gather required documentation in accordance with contract terms
- Review legal documents for accuracy and completeness prior to attorney approval
- Maintain an organized and professional reception area and office environment
- Support general administrative functions including filing, copying, and data entry
- Monitor office supply inventory and coordinate restocking as needed
- Ensure adherence to office procedures and confidentiality standards
Qualifications & Skills:
- Prior experience in a legal, administrative, or office support role
- Real estate closing experience strongly preferred
- Familiarity with SoftPro or similar closing software is a plus
- Strong written and verbal communication skills
- High attention to detail and accuracy
- Excellent organizational and time management skills
- Ability to multitask and prioritize in a fast-paced environment
- Professional demeanor with strong client service skills
- Proactive, resourceful, and adaptable mindset
