Patient Service Associate – Duke Primary Care – Family Medicine Location: Durham, NC, 27710 Requisition Number: 270209 Work Arrangement: Regular Occ Summary Coordinate and participate in a variety of duties associated with daily clinic preparation, patient identification, check‑in/out, charge posting, cash management, and patient appointment scheduling. The role also involves customer service, message distribution, ancillary scheduling, and referral management. Work Performed Prepare for clinic visits by reviewing next‑day patients and completing preparatory activities. Enter pre‑visit orders and prepare new patient charts. Collect X‑rays, office charts, medical records, reports, petty cash, and collections bags; return medical records. File history sheets, ancillary reports, and all required patient record documentation; attach HIPAA/Medicare documents to encounter forms. Check in patients upon arrival; verify and edit patient demographic information in Maestro Care. Educate patients on required forms and obtain required signatures per policy. Manage co‑payments and balances, and post payments to accounts. Imprint patient‑specific chart documents and requisition/transmittal documents. Copy, file, and distribute insurance cards according to procedures. Coordinate labs and procedures; maintain private physician office charts. Audit encounter forms for completeness and accuracy before batching and charge posting in Maestro Care. Schedule tests, procedures, and return appointments, entering the appropriate physician and appointment type. Answer telephone calls, take and deliver messages to physicians, nurses, and others. Report obtained medical information from patients and referring physicians accurately, completely, and in a timely manner. Disseminate messages according to practice communication standards. Knowledge, Skills and Abilities Strong verbal and written communication skills. Basic PC and data entry skills. Knowledge of medical terminology and telephone etiquette. Ability to organize and prioritize work, provide oral and written instructions, and interact tactfully with customers. Ability to establish and maintain effective relationships with others. Apply departmental policies, rules, and regulations related to verifying patient information, collecting payments, and maintaining records and forms. Minimum Qualifications Education: Basic grammar and mathematical principles normally acquired through high school education. Experience: Minimum of one year of work experience in directly communicating and providing service to patients or the public, preferably in a healthcare related field. Experience coordinating multiple tasks or activities.
