The role will begin as a temporary position with the potential to transition into a full-time, long-term opportunity. You’ll work alongside our team and support our current Operations Manager during her absence, learning our systems, processes, clients, and business from the inside out. And this is not your typical administrative job. You’ll have your hands in nearly every part of the business—from preparing a home to hit the market and coordinating vendors, to creating marketing campaigns, managing client touchpoints, supporting transactions, and making sure the team has what they need to succeed. You’ll be the person behind the scenes making sure everything runs. Responsibilities: • What You'll Do This is a hands-on, high-impact role at the center of the business. Listing Management & Launches You’ll help take a listing from “we’re getting ready to sell” to “keys are officially handed over.” Own the day-to-day coordination of listings from pre-market preparation through closing. Coordinate photographers, videographers, stagers, cleaners, inspectors, contractors, and other vendors. Manage listing timelines, appointments, deliverables, and launch deadlines. Prepare MLS listings, property descriptions, feature sheets, flyers, brochures, and other marketing materials. Coordinate open houses, broker events, property launches, and promotional activities. Prepare properties for market with lockboxes, signage, flyers, feature cards, and showing materials. Conduct on-site listing visits to make sure everything is show-ready and launch-ready . Catch the details before they become problems and make sure every listing is presented at the highest possible standard. Marketing & Brand Help make sure the team’s listings and brand stand out from the crowd. Design professional, eye-catching marketing materials using Canva and Adobe Creative Suite . Create and coordinate social media content for Facebook, Instagram, LinkedIn, and Google Business Profile. Support listing announcements, email marketing, digital advertising, and promotional campaigns. Help develop creative ways to showcase properties, agents, success stories, and the team’s brand. Maintain consistency across marketing materials, social platforms, and client-facing communications. Stay current on marketing trends and bring fresh ideas to the table. Help turn great listings and great client experiences into great marketing content. Operations & Business Management You’ll be one of the people helping keep the engine running behind the scenes. Manage team email, CRM systems, databases, lead follow-up, and administrative workflows. Maintain calendars, deadlines, task lists, and important business timelines. Prepare CMAs, listing presentations, buyer presentations, reports, and other business materials. Coordinate communication between clients, agents, vendors, escrow, lenders, and transaction coordinators. Track transactions and ensure important details don’t fall through the cracks. Help create and maintain systems, checklists, templates, and processes that improve efficiency. Identify bottlenecks and proactively find ways to make the business run more smoothly. Support special projects, events, and business-development initiatives. Buyer & Transaction Support Help create a seamless experience for buyers from first showing to closing day. Prepare buyer consultation materials, presentations, and customized resources. Create and manage personalized MLS searches. Schedule showings and coordinate property tours. Assist with buyer transactions and transaction-related administrative tasks. Prepare purchase agreements, counteroffers, and other documents when appropriate and within applicable licensing requirements. Step in to show properties when a team agent is unavailable. Keep buyers informed, organized, and supported throughout the process. Help anticipate what clients and agents will need before they have to ask. Client Experience & Relationship Management Real estate is a relationship business—and we want clients to feel the difference. Serve as a consistent, professional point of contact for clients throughout the buying and selling process. Coordinate client appreciation events, celebrations, and special experiences. Organize closing gifts, personalized gifts, and thoughtful client surprises. Manage birthday cards, home anniversary cards, and other personalized database touchpoints. Maintain accurate and up-to-date client records. Coordinate ongoing follow-up and engagement with past clients and the team’s sphere of influence. Look for creative ways to stay connected with clients long after the transaction closes. Help create the kind of client experience that generates raving fans, repeat business, and referrals.
