Position Summary We are seeking a highly skilled and discreet Senior Executive Assistant/Personal Assistant to provide comprehensive remote support to the Chairman of the Board. This role requires exceptional organizational ability, strong judgment, and the flexibility to manage both professional and personal responsibilities. The ideal candidate is proactive, detail-oriented, and capable of handling complex schedules, sensitive information, and high-level coordination with professionalism and discretion. This position will be remote, with a preference for candidates based near Boston, MA or the East Coast to best align with the Chairman’s schedule and occasional in‑person requirements. Responsibilities Executive & Administrative Support Provide full executive support to the Chairman, including managing complex calendars, scheduling, and prioritizing meetings. Coordinate and prepare all aspects of meeting logistics, including agendas, briefing materials, presentations, and follow‑up notes. Travel & Logistics Management Arrange and manage all aspects of domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries. Anticipate and proactively handle last‑minute changes or adjustments to travel and schedules. Ensure seamless coordination of logistics for business trips and board meetings. Personal Assistance Manage the integration of professional and personal calendars to ensure balance, minimize conflicts, and prevent scheduling overlaps. Coordinate across multiple calendars (including personal, professional, and several board commitments) to create a unified and accurate schedule. Monitor and resolve potential conflicts in advance, prioritizing activities based on urgency, importance, and the Chairman’s preferences. Act as the central point of coordination for all scheduling—professional and personal—so the Chairman’s time is optimized and commitments are honored without disruption. Other adhoc tasks as needed. Serve as a trusted gatekeeper and primary point of contact for internal and external stakeholders. Coordinate with board members, senior executives, staff, and external partners to facilitate smooth communication and alignment. Uphold the highest standards of discretion and professionalism in all interactions. Qualifications 10+ years of experience as an Executive Assistant, Personal Assistant, or in a senior administrative role supporting C‑suite or board‑level executives. Proven ability to manage complex schedules with multiple calendars and high‑volume domestic and international travel. Strong tech‑savviness, particularly troubleshooting and navigating issues between Google Workspace and Microsoft Office/Outlook environments. Proficiency with iPhone/iOS mail, calendar, and productivity applications, ensuring seamless mobile communication and scheduling. Comfort working across multiple devices and platforms, ensuring synchronization and smooth technology use for the Chairman. Exceptional organizational skills and attention to detail, with the ability to anticipate needs and take initiative. Excellent written and verbal communication skills, including experience drafting briefings and correspondence. High level of discretion, integrity, and emotional intelligence. Ability to thrive in a fast‑paced environment and manage competing priorities with composure. Location Remote position with flexibility and autonomy. Candidates must be based on the East Coast (Boston or NYC area strongly preferred) to align with time zone and occasional in‑person requirements. Availability to adjust to the Chairman’s schedule, including occasional early mornings, evenings, and travel‑related coordination. Compensation Commensurate with experience.
