Administrative Assistant- Banking/Financial Services Location: Los Angeles, CA (Hybrid) Pay Rate: $29.00/hr W2 Duration: 12 Months Experience Level: Junior (3–5 Years) Position Overview We are seeking a highly organized and professional Administrative Assistant to provide executive-level administrative support within a fast-paced Coverage and Capital Markets environment. This role will primarily support teams across Latin America, Asia, and Canada, requiring strong organizational skills, attention to detail, and the ability to coordinate activities across multiple time zones and stakeholders. The ideal candidate will have prior experience supporting senior leaders, managing complex schedules, coordinating travel arrangements, and handling a wide range of administrative responsibilities in a dynamic business environment. Key Responsibilities Manage complex executive calendars and coordinate meetings across multiple time zones. Schedule and organize internal and external appointments, meetings, and conference calls. Prepare, edit, format, and distribute correspondence, reports, presentations, and business documents. Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and visa-related requirements when applicable. Process and reconcile expense reports in accordance with company policies. Support planning and execution of meetings, events, team activities, and offsite gatherings. Prepare meeting materials, agendas, and presentation documents. Serve as a key point of contact for internal teams, senior leadership, and external business partners. Maintain professional communication and ensure timely follow-up on requests and action items. Provide general administrative and office support to enhance team productivity and operational effectiveness. Assist with special projects and ad hoc administrative duties as assigned. Required Qualifications 3–5 years of experience in an Administrative Assistant, Executive Assistant, or senior administrative support role. Experience supporting executives and/or business teams in fast-paced, deadline-driven environments. Strong calendar management and scheduling experience. Experience coordinating domestic and international travel arrangements. Excellent verbal and written communication skills. Strong organizational, multitasking, and prioritization abilities. Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Ability to handle confidential information with professionalism and discretion. Strong attention to detail and follow-through. Preferred Qualifications Prior experience within a financial services, banking, investment, or professional services environment.
