Job Description:\n\n POSITION SUMMARY\n\n \n The Concurrent Enrollment Registration Clerk processes a high volume of concurrent enrollment registrations within short, time-sensitive windows each semester. This role works closely with the Lead Registration Clerk and the Executive Director of Registration and Records to register and track students taking classes through the Community College of Aurora’s Concurrent Enrollment program (on-campus and high school-based dual credit). Success in this position requires speed, accuracy, and strong Microsoft Excel skills, along with confidence using CCA’s Banner Student Information System to complete coding and registration correctly and on time. During lower-volume periods, the Concurrent Enrollment Registration Clerk supports the Registration Clerk Team with registration projects, course map support, communications, and other registration activities as assigned.\n \n Partial remote opportunities may become available after training.\n \n \n OVERVIEW OF CCA \n The Community College of Aurora serves our diverse community by providing high-quality instruction and support services to prepare students for transfer and employment. The college centers diversity, equity, and inclusion and we actively seek to employee partners who want to join us in working to reducing outcome gaps among our diverse student population.\n\n \n \n \n \n DUTIES & RESPONSIBILITIES: \n \n \n Lead high-volume registration processing during peak enrollment each semester, including:\n \n Track application status and readiness for registration\n Locate and verify student ID numbers\n Enter placement and test scores as needed\n Complete course registration accurately and on time\n Code student records and classes to ensure proper tracking and reporting\n \n Distribute application reports to high schools to ensure they are informed of student application statuses\n Use Microsoft Excel to validate and reconcile registration rosters (e.g., sorting/filtering, lookups, identifying missing data, comparing files, and resolving discrepancies). Proficiency with XLOOKUP or VLOOKUP are critical to this role.\n Perform quality control checks on registrations and coding to minimize errors; research and correct issues as needed \n Track daily progress during peak periods and provide status updates to the registration team to support on-time completion\n Assist with the billing and clean-up process for all CE students and collaborate with the Fiscal Affairs team to ensure data is received in a timely manner each semester\n Create and distribute grading reports for high schools at the end of each semester\n Serve as the first point of contact for student concerns, provide general support to ensure students and high schools have accurate information related to Concurrent Enrollment and CCA’s procedures\n Build registration plans for students in assigned caseload by departmental and registration deadlines\n Works with students in caseload to adjust registration plans as needed\n Work with CRM manager to push out communication plans to students who are in their pathways regarding registration, high demand courses, etc\n Communicates with supervisors to recommend additional course sections, observed registration patterns, and future course needs\n Work closely with Graduation Processor to identify students nearing graduation to ensure appropriate final semester registration and that graduation applications are processed/submitted\n Update curriculum as needed (e.g. adding 2nd program)\n Ensure students have authorized COF; identify and resolve COF errors to support student access to the Colorado Opportunity Fund stipend\n Provide front desk coverage during breaks/lunches and when front desk staff are out\n Serve as backup phone coverage as needed\n \n KEY SUCCESS FACTORS:\n \n \n Processes high volumes quickly while maintaining accuracy and meeting firm deadlines during peak registration periods\n Uses Excel to validate and reconcile rosters (sorting/filtering, lookups, identifying missing data, and resolving discrepancies)\n Comfortable performing quality control checks and correcting errors to reduce registration issues\n \n \n\n \n \n \n \n REQUIRED QUALIFICATIONS: \n \n Associate degree or two years working in education, project management, or with student databases \n Intermediate to advanced Microsoft Excel skills (e.g., converting file formats, VLOOKUP/XLOOKUP, pivot tables, and protecting/locking worksheets to support accurate data entry)\n Experience working with diverse populations and demonstrated commitment to creating an inclusive work environment.\n Basic knowledge of FERPA and federal and state statutes impacting college admissions, recruiting, registration, and records retention.\n Strong collaboration, problem-solving, interpersonal, oral and written communication, and collaboration skills.\n Detail oriented, organized and able to work effectively and independently on a tight deadline.\n \n PREFERRED QUALIFICATIONS:\n \n \n Experience in concurrent enrollment, dual credit, or K/higher education partnership programs\n Experience with high-volume transaction processing in a time-sensitive environment (e.g., registration, admissions, records, billing support)\n Experience reconciling rosters and supporting end-of-term reporting (e.g., grade rosters, student status, billing clean-up)\n Experience creating repeatable Excel tools/templates for data validation and batch processing\n Familiarity with CCCS policies and procedures related to admissions, registration, and tuition classification\n \n \n\n \n \n \n \n SUPPLEMENTAL INFORMATION\n Salary Range: Anticipated salary range is $52,508.84- $60,385.17 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information.
