Program Manager- Operations and Data Analytics

About the Role

We are seeking an operational driver and systems-minded leader to provide a technical and logistical perspective for our Club network. Reporting directly to the Senior Program Manager , this role bridges high-level data governance and multi-site operational logistics with daily, on-the-ground staff coaching across our Bryan, Caldwell, and Somerville sites.

Key Responsibilities

Data Management & Outcome Tracking

• System Ownership: Oversee data entry integrity within MyClubHub (Salesforce) , tracking daily attendance and member participation metrics.
• Grant Compliance: Compile and organize critical impact data for state and federal grants ( TEXSYN and AIMS ). Provide resources and direct guidance to Youth Development Professionals (YDPs) managing grant-funded curricula.
• Outcome Measurement: Administer pre- and post-surveys across all programs to evaluate member growth and program effectiveness.
• Leadership Reporting: Generate monthly data reports for the Senior Program Manager and executive leadership to identify participation trends and close programming gaps.

Daily Operations & Multi-Site Logistics

• Multi-Site Oversight: Travel frequently between Bryan, Caldwell, and Somerville locations to conduct site walkthroughs, audits, and observations to maintain high program standards.
• Site Flow & Schedules: Co-manage daily Club programming schedules, room rotations, and activity transitions alongside the Senior Program Manager.
• Supply Chain & Inventory: Manage full inventory lifecycles, including purchasing materials and overseeing program setups across all sites.
• Safety & Incident Oversight: Co-manage incident reporting processes, ensuring timely safety documentation and proactive communication with all stakeholders.

Collaborative Supervision & Staff Coaching

• Co-Supervision: Partner directly with the Senior Program Manager to co-supervise program staff, monitor daily performance, and maintain leadership alignment.
• HR & Onboarding: Manage staff leave requests in alignment with the Senior Program Manager and partner with the Director of Operations on onboarding new program personnel.
• On-the-Floor Coaching: Conduct real-time staff check-ins, providing immediate feedback on facilitation techniques and behavioral management (e.g., Class Dojo ).

Partnerships & Tactical Coordination

• Event & Program Logistics: Coordinate field trips, guest presenters, and special events.
• Community Engagement: Maintain daily communication with parents, school partners, and community stakeholders.
• Internal Collaboration: Partner with Youth & Family Services on mental health, career readiness, and teen recruitment initiatives while maintaining an organizational "Master View" for the Senior Program Manager.

Requirements

Must-Have Qualifications

• Sector Experience: 2–4 years of leadership or operations experience within a Boys & Girls Club or similar youth development organization.
• Technical Skills: Hands-on experience with MyClubHub or Salesforce-based CRM platforms for attendance, member tracking, and reporting.
• Grant Data Familiarity: Proven ability to organize and interpret compliance data for complex state/federal grants (TEXSYN/AIMS experience strongly preferred).
• Bilingual Proficiency: Fluent in English and Spanish (written and verbal) to ensure equitable family advocacy and communication.
• Multi-Site Mobility: Ability to travel regularly across Bryan, Caldwell, and Somerville, TX.

Education & Core Competencies

• Education: Bachelor’s degree in Education, Social Work, Nonprofit Management, Business Administration, or equivalent professional experience.
• Collaborative Leadership: Comfort working in a "co-supervision" / matrixed reporting structure under the Senior Program Manager.
• Behavioral Management: Knowledge of positive youth development practices and intervention tools (e.g., Class Dojo).
