Account Specialist

The Account Specialist is responsible for managing the end-to-end lifecycle of accounts. The duties cover ensuring accuracy and managing the logistics and tracking of an account throughout the entire process, from item creation through customer service. This role requires strong attention to detail, organizational skills, and the ability to track and coordinate processes to deliver a seamless customer experience.

Essential Functions:

• Cross check purchase order against the vendor's documentation for accuracy on all orders.
• Gather all landed cost components applicable for receiving all ARENA orders.
• Ensure that the cost has been applied correctly across the entire order(s).
• Handle and communicate all discrepancies of the shipment upon arrival with LASA.
• Present to accounting in a timely manner the receiving packages.
• Work closely with our purchasing department, JMC and LASA as to the purchase orders.
• Follow up with the vendor on order status, track shipments with Albatrans.
• Enter the sale orders and invoices.
• Prepare the required documentation for shipping.
• Manage monthly tobacco Reports and filings with TTB and FDA.
• Must be flexible to work overtime as needed.
• Prepare and fill out JMC/Carisam TTB Tax Claims.
• Maintain TTB Tax Claim Tracking Log.
• Document archiving via Docuware.
• Prepare Audit package for all file orders.
• Additional duties may be assigned by the supervisor.

Education/Experience Required:

Have a high school diploma or equivalency. Minimum of 2 - 3 years in related experience or a combination of experience and/or education in related field. Bi-lingual and be able to read and write in Spanish is a plus.

Computer Skills:

• Must be computer literate.
• Proficient in MS Excel, MS Word, and MS Outlook.
• Willing to learn JDE System.
• 10 Key is a plus.
