Supply Chain Coordinator

We are seeking a highly organized and detail-oriented Sales Operations Coordinator to support the sales team by managing the administrative and operational aspects of the order-to-delivery process. This role is responsible for sales contract administration, inventory allocation, shipment coordination, and customer order management while ensuring accurate and timely product delivery. Key Responsibilities Contract & Order Administration Track contract terms, delivery schedules, pricing, and volume commitments while identifying discrepancies or upcoming renewal needs. Maintain organized records of contracts, amendments, purchase orders, and related documentation. Assist with the preparation of sales contracts, purchase agreements, and order confirmations. Communicate with customers regarding order status, delivery details, and issue resolution. Develop and maintain customer account records, including key contacts, contract history, orders, and issue tracking. Inventory Tracking & Allocation Monitor real-time finished goods inventory levels. Allocate inventory to customer orders based on contract priorities, production schedules, and delivery commitments. Reconcile inventory records with production output and shipment data. Identify and communicate inventory shortages, overages, or allocation conflicts to internal stakeholders. Shipment Coordination Coordinate shipment schedules with logistics and warehouse teams to meet customer delivery requirements. Prepare shipping documentation, including packing lists, bills of lading, and compliance-related documents. Track shipments and proactively communicate delays or issues to customers and internal teams. Maintain shipment records and support on-time delivery reporting. Cross-Functional Support Serve as a liaison between sales, production planning, quality, and logistics teams to ensure order fulfillment accuracy. Respond to customer inquiries regarding orders, delivery timelines, and contract details. Support sales reporting, forecasting activities, and CRM/ERP data maintenance.
