Project Coordinator - Renewable Energy

Job Summary:

The Project Coordinator supports the Renewables team by managing day-to-day activities, coordinating projects, handling documentation, scheduling, procurement, and facilitating communication among internal and external stakeholders. This role is essential in tracking project progress and ensuring smooth execution of renewable energy initiatives, offering opportunities for professional growth within the organization. Responsibilities:

• Assist in project planning, coordination, documentation, and communication of departmental activities.
• Coordinate project and cross-functional meetings, including scheduling, agenda preparation, note-taking, and follow-up tracking.
• Manage Scope of Work (SOW) and RFP processes for procurement in line with policies, tracking inputs, responsible parties, and key dates.
• Create and verify purchase requisitions in SAP and liaise with Operations, Procurement, Legal, and other departments.
• Facilitate effective communication between team members, stakeholders, and vendors.
• Maintain weekly status reports and trackers for major projects and cross-functional activities.
• Create dashboards and automate reporting where applicable.
• Develop and maintain project schedules using Excel or MS Project and track progress against deadlines.
• Update project and business development information in CRM and other tracking systems.
• Support document organization and management across SharePoint, Kiteworks, and other platforms.

Required Skills & Certifications:

• Bachelor's degree in Business, Engineering, Sustainability, Environmental Science, or related field.
• Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams).
• Strong organizational skills with attention to detail for maintaining accurate records and project documentation.
• Excellent verbal and written communication and presentation skills.
• Ability to prioritize tasks and manage multiple deadlines effectively.
• Experience with project management and task-tracking tools (e.g., Smartsheet, Monday.com) or willingness to learn.
• Familiarity with procurement processes, contract structures, and SOW/RFP documentation.

Preferred Skills & Certifications:

• General understanding of renewable energy project development and construction lifecycle or willingness to learn.
• Experience coordinating with external developers, EPC contractors, consultants, and vendors.
• Proficiency or ability to quickly learn MS Project, SAP ERP, CRM, SharePoint List, and Power Automate.
• Strong meeting coordination, risk identification, and follow-up skills.
• Adaptability to changing project requirements and evolving plans.
