GENERAL POSITION SUMMARY:
This is technical work in maintaining inventory control for supplies and equipment for Utilities; including purchasing, receiving, issuing, and stocking of inventory of supplies, equipment, and materials. Work also involves maintaining asset management system and responsibility for working independently on field inspections to assure implementation, maintenance and compliance.
ESSENTIAL JOB FUNCTIONS:
• Oversee and participate in the use of the Department's Inventory Management System; responsible for receiving, issuing, stocking, and inventorying all materials, supplies, and equipment.
• Oversee the receipt of incoming orders, which includes the verification of accuracy, quantities and price; assigns inventory control numbers, inputs data for tracking and determines identification numbers; coordinate returns and exchanges; and maintain contact with vendors.

• Issues parts, supplies, equipment, and materials; obtains work orders; determines availability and minimum amounts required for stock.
• Monitors inventory levels and maintains daily database of customers receiving inventory from warehouse; maintaining an accurate count of inventory on hand at all times.
• Maintain inventory records and prepare monthly, quarterly, and yearly reports as necessary.
• Utilizes computer, keyboard, printer and other office equipment as needed for inventory control, including computerized maintenance of master inventory listing (part description, shelf location, unit measurement, pricing, etc). Operates forklift to unload trucks and store materials.
• Perform a variety of general clerical duties including data entry and maintaining files and records; coordinates and maintains warranty information; follow up on orders and back orders.
• Maintain storage areas and yard in a clean and orderly condition; and ensure security of storage areas.
• Attend and participate in staff group meetings as required. Confer with assigned sections to meet needs for inventory, equipment, and emergency items.
• Establish and maintain effective working relationships with supervisors, employees, employees of other departments,
• Performs preventive maintenance. Perform other duties as assigned or directed.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of:
• Thorough knowledge and understanding of inventory methods, procedures, and practices.
• Policies and procedures, rules and regulations, fee structures and billing procedures relating to Utilities
• Internal control procedures; purchasing and procurement.
• Computer generated record keeping and reporting systems.
Skills and Ability to:
• Microsoft Excel, Word, and Access and ability to learn new technology systems very quickly and efficiently.
• Analyze problems, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of goals.
• Maintain a variety of operating records and files, and to accurately prepare schedules, charts, customer lists, inventories and reports.
• Handle multiple tasks simultaneously with frequent interruptions.
• Communicate clearly and concisely orally and in writing.
• Use tact, initiative, prudence and independent judgment within general policy, procedural and legal guidelines.
• Follow Department and City policies and procedures operating with minimum supervision.
EDUCATION AND/OR EXPERIENCE REQUIRED:
- High school diploma from a school accredited by a regional accrediting agency recognized by the U.S. Department of Education or GED certificate issued by the appropriate state agency.
- Equivalent combination of education and experience that would provide the necessary knowledge, skills and abilities to successfully perform the essential functions of the job.
PREFERRED QUALIFICATIONS:
- Associates Degree in Business or related field.
- Three (3) years of considerable experience in inventory methods and procedures and procurement.
LICENSES, CERTIFICATIONS & OTHER REQUIREMENTS:
• Must possess a valid Mississippi Driver's License and acceptable MVR.
WORKING ENVIRONMENT AND PHYSICAL DEMANDS:
Work is performed in an office and shop environment. Work requires frequent operation of a heavy equipment and performance of physical tasks such as sitting, walking over rough surfaces, bending, stooping, climbing, and lifting containers and debris up to seventy-five pounds in weight. Must be able to handle multiple tasks or projects simultaneously, work with numerous interruptions, and adjust to changing priorities. Must demonstrate good use of judgment and demonstrate the ability to properly deal with confidential matters. Must use good interpersonal skills.
