Senior Development Coordinator

The Senior Development Coordinator plays a key role in creating impactful fundraising and donor experiences at The Museum of Flight. This position leads event planning and execution while managing budgets, donor stewardship, reporting, communications, and logistics to ensure successful, mission-driven events. Summary The Senior Development Coordinator leads the planning, coordination, and execution of Development events. This position works closely with the Development team, senior leadership, and external partners to ensure department events are mission-driven and strategically executed. The coordinator should be detail-oriented, highly organized, and should provide excellent customer service and experience to donors, sponsors, volunteers, and vendors. Additionally, this role oversees event budgets, donor reporting (including endowment stewardship), event collateral, and event supplies. Administration & Data Management Responsible for logistical, task coordination, and administrative support for daily department operations, events, programs, and projects. Schedule meetings, prepare agendas, and distribute meeting materials to ensure effective coordination Maintain accurate event and donor data in the CRM/database. Generate reports and track metrics to support fundraising, donor stewardship, and event evaluation. Support and coordinate interns and/or staff assisting with development activities. Event Planning & Execution Lead end-to-end planning, logistics, vendor management, and execution of fundraising, stewardship, and cultivation events in alignment with organizational goals and brand. Monitor budgets, timelines, contracts, and event outcomes including RSVPs, ticket sales, and seating. Provide on-site volunteer coordination and leadership during events. Budget & Financial Management Collaborate with leadership in ensuring accurate budgeting and forecasts for events in alignment with fundraising goals including monitoring and post event reporting on revenue/expenses, processing payments, and identifying cost-saving opportunities—while maintaining event quality. Fundraising, Donor Engagement & Reporting Partner with stakeholders to drive event fundraising through sponsorships, donor cultivation and recognition, including auctions, raffles, and in-kind contributions. Prepare and distribute endowment reports to donors, ensuring accurate, timely, and personalized stewardship Collateral & Communications Develop and manage event-related collateral, including sponsorship packets, invitations, programs, signage, and digital assets. Coordinate with communications/marketing teams to ensure applicable brand consistency and alignment. Draft event content for email, social media, and donor communications. Ensure all collateral and communications support fundraising and stewardship goals. Supplies & Logistics Management Maintain inventory of development and event supplies (signage, décor, collateral, auction materials, name tags, etc.). Track supply usage and costs, aligning with event budgets. Organize and maintain storage areas to ensure easy access and efficiency. Perform other duties as assigned. Qualifications Education & Experience Associate degree in nonprofit management, communications, marketing, or related field (or equivalent experience). Minimum of 3 years of experience in fundraising, event management, or development, preferably in a nonprofit setting. Proven track record of planning and executing successful fundraising events. Demonstrated experience managing budgets and financial reporting. Experience preparing donor and endowment reports with accuracy and attention to detail. Experience in developing and managing event collateral and donor communications. Experience in volunteer recruitment, training, and management. Experience maintaining and managing supplies and inventory for events or development functions. Knowledge Strong project management and organizational skills with ability to manage multiple priorities. Knowledge of donor databases/CRM (e.g., Raiser’s Edge, Salesforce, or similar). Skills Excellent written and verbal communication skills; strong attention to detail. Abilities Ability to work occasional evenings and weekends for events. Able and willing to work a flexible and/or extended work week which may include some evening and/or weekend work. Onsite attendance is essential to perform the duties of this position. Little to no travel is expected for this position. This position requires one to be able to travel which may subject one to inclement weather, flight delays or other travel related inconveniences. Benefits The Museum of Flight offers full-time employees a generous and comprehensive benefits package which includes medical, dental, vision, flexible spending accounts, a 403(b) retirement plan with a 5% match after 1 year of service, Employee Assistance Program, as well as company paid life insurance, Accidental Death and Dismemberment, and long-term disability. Paid-Time Off Our paid time-off plans include 2 weeks of accrued sick leave and 2 weeks of vacation (80 hours each) per year, 10 paid holidays, and 2 floating holidays. Compensation The pay range for this position is $24.80 to $34.70 depending on experience. If you receive an offer, your starting salary will fall within the posted range. Compensation is determined by a variety of factors, including the scope of the position, years of relevant experience, specialized skills, internal equity, market conditions, and the candidate's qualifications and ability to successfully perform the role.
