Patient Service Representative - Pediatrics - Chicago

Hourly Pay Range $18.38 - $26.65 – The hourly pay rate offered is determined by a candidate’s expertise and years of experience, among other factors. Position Highlights Position: Patient Service Representative Location: Chicago, IL Full Time/Part Time: Full Time Hours: Monday‑Thursday 7am – 7pm, Fridays 7am – 5pm with rotating Saturdays between 8am – 12pm Required Travel: Travel to other sites based upon department need Overview Under general supervision and according to established policies and procedures, responsible for providing in‑patient, out‑patient, emergency room, immediate care and same day surgery patients with timely and accurate pre‑registrations, registrations, order management, charge capture, cash collection functions and medical information systems. Collects, analyzes and records demographic, insurance/financial and clinical data from multiple sources and obtains other information and signatures necessary for the above processes. Screens for third‑party eligibility and enters medical necessity coding to ensure accurate payment is secured. Interacts in a customer‑focused manner to ensure the needs of patients and their families are met and that they understand the hospital’s revenue cycle expectations, including resolution of personal liabilities through various payment options. Responsibilities Demonstrate knowledge and skills necessary to provide age‑appropriate care to patients, including knowledge of physical and psychological needs and appropriate responses. Perform patient registration functions in a courteous and professional manner Greet, register, collect and analyze all required data for pre‑registration and registration. Interact with patients, representatives, employers, physicians and other staff via person, phone, or electronically. Record and process transactions into the hospital computer system while following HIPAA, EMTALA, payer and other applicable regulations and standards. Use online physician ordering systems to retrieve and interpret physician orders, enter appropriate accommodation and test codes, and contact physicians for additional information. Explain, secure, and witness all required signatures; complete Medicare Secondary Payer (MSP) questionnaire when applicable. Update billing information according to data collected in questionnaires. Scan insurance cards, IDs, referrals, authorizations, consents, physician orders, HIPAA, Medicare ABN, and other regulatory paperwork into the hospital’s document imaging system; prepare required forms and reports. Coordinate daily in‑patient admissions and bed placement, notify nursing units, maintain census records, and enter admissions, discharges and transfers. Process generated paperwork; match registration data with admission forms; assemble and disassemble patient charts; scan medical records per guidelines. Maintain logs and reports of patient registration data, and adapt manual processes for scheduled and unscheduled system downtimes. Perform daily midnight census verification with each in‑patient unit to reconcile admissions and ensure accurate room and board charges. Perform patient registration financial functions Review physician orders and documentation against insurance payer coverage and medical necessity; use screening software. Explain payer policies, obtain missing financial documentation, and negotiate expected patient balances. Initiate electronic inquiries to payers and claim administrators, record and enter data. Calculate and explain estimated charges to patients; negotiate resolutions; refer to Financial Counselor when needed. Process cash, check, and credit card payments at time of service; post to accounts; issue receipts; calculate adjustments and discounts. Reconcile daily cash receipts with cash activity reports; prepare deposits and reports; investigate discrepancies. Respond to billing inquiries and coordinate replies with financial counselors. Perform inpatient account corrections required by Utilization Review Department. Charge observation hours for admitted patients. Attend mandatory staff meetings, stay familiar with policy updates, and communicate issues or questions to Supervisor or Director. Receive, respond to, or redirect inquiries from patients, representatives, payers, physicians, and internal departments; de‑escalate tense situations while maintaining confidentiality of PHI. Assist in training new employees and contribute to related duties such as filing, distribution of questionnaires and medical records, sorting mail, photocopying, replenishing supplies, and preparing next‑day set‑up. Accept and complete special assignments, projects, and other duties as required under supervision. Maintain flexible work schedules, including weekends, holidays, and multiple registration locations. Qualifications High school diploma required; associate’s degree in Business Administration/Management preferred. Minimum 2 years of registration, scheduling, patient accounts, cash collections, or customer service experience in a healthcare setting. Manual dexterity for operating office machines. Knowledge of health insurance, medical terminology, and anatomy. Strong data entry and keyboarding skills. Knowledge of Microsoft Office Suite. Bilingual skills desirable. Valid driver’s license required if duties at an off‑site location; personal vehicle must have liability coverage when used.
