Desired Qualifications Position Summary Under the direction of the Police Records Supervisor, the Administrative Technician - Police Records performs advanced and complex clerical, administrative, and law enforcement duties in support of the College Police Department. The position serves as senior-level resource for Police Records and other assigned clerical staff. The Administrative Technician position assists with coordinating daily record operations and workflow, priortising assignments, maintaining consistency in records and administrative processes, providing guidance and training, reviewing work for completeness and accuracy; and promoting consistent application of departmental procedures, District policies, and applicable legal requirements. The position regularly handles confidential and sensitive law enforcement information and exercises a high degree of independent judgement within established policies and procedures. The incumbent is expected to recognize matters requiring supervisory, command, or legal review and appropriately elevate those matters to the Police Records Supervisor. - Provide day-to-day lead directions, technical assistance, and work guidance to Police Records Clerks and other assigned clerical staff.
- Assist with coordinating, assigning, prioritizing, and monitoring daily work to ensure adequate coverage and timely completion of records and administrative functions.
- Serve as a resource to clerical staff regarding records procedures, departmental practices, administrative processes and established policies.
- Assist with orientation and training new employees and provide ongoing training to existing staff regarding on records systems, departmental procedures, confidentiality requirements, and assigned duties.
- Review records and clerical work for completeness, accuracy, and compliance with established procedures.
- Identify workflow, procedural or operational issues and provide recommendations and concerns to the Police Records Supervisor.
- Assist with maintaining continuity of records operations during vacations, absences, vacancies, and periods of increased workload.
- Perform Police Records Clerk duties and provide front-counter or station coverage as operational needs require .
- Receive, review, process, scan, index, file, and maintain police reports, arrest reports, incident reports, citations, and other law enforcement records.
- Review reports and records for completeness, proper documentation and compliance with established records procedures.
- Identify missing or inconsistent documentation requiring correction and coordinate the appropriate follow-up.
- Enter, retrieve, update, verify, and maintain information in applicable records management and departmental systems.
- Maintain the integrity, security, and confidentiality of police records in accordance with applicable laws, regulations, retention requirements, and departmental procedures.
- Process requests for police reports, other law enforcement records and determine when requests require supervisory, legal, or command-level review as appropriate and route through the appropriate chain of command.
- Assist with preparing, organizing, redacting, and producing of records in response to the California Public Records Act requests, subpoenas, court orders, discovery, requests and other authorized requests for information.
- Coordinate the exchange of records and information with other law enforcement agencies, courts, prosecuting agencies, District departments, and authorized entities.
- Assist with records retention, archiving, purging, sealing, and destruction in accordance with approved retention schedules, court orders, and applicable legal requirements.
- Maintain logs, spreadsheets, databases, tracking systems, and other documentation relating to records requests, subpoenas, deadlines, releases, case documentation, and departmental activity.
- Perform advanced clerical and administrative support to the Police Administrative Office and departmental operations.
- Maintain departmental files, forms, databases, spreadsheets, correspondence, and administrative records.
- Prepare correspondence, memoranda, reports, forms, statistical summaries, spreadsheets, and other documents requiring knowledge of departmental operations.
- Track assignments, projects, record requests, and deadlines and follow up with appropriate personnel to obtain required information or documentation.
- Compile, organize, and verify data for departmental reports, audits, statistical reporting, administrative reviews, and special projects.
- Assist with special projects and assignments requiring independent research, records review, data collection, organization, and follow-through.
- Assist the Police Records Supervisor with the development, maintenance, and implementation of clerical and records procedures.
- Identify opportunities to improve workflow, records accuracy, consistency, efficiency, and administrative processes and make recommendations to the Police Records Supervisor.
- Relieve the Police Records Supervisor and other Police Department staff of complex administrative and records support functions; exercise independent judgment and initiative within established policies and procedures.
- Respond to inquiries from students, employees, members of the public, attorneys, law enforcement agencies, and other governmental agencies within the scope of assigned authority.
- Explain established departmental records procedures, requirements, and processes and refer matters outside assigned authority to the appropriate employee, supervisor, or agency.
- Exercise discretion and maintain professionalism when handling confidential, confidential, or difficult matters.
- Provide clerical and records coverage at campus police stations or other College Police locations when necessary to maintain operational continuity.
- Assist with campus station functions as assigned, including parking-related inquiries, keys, alarms, lost and found, reports, and other public-facing services.
- Establish and maintain effective working relationships with sworn personnel, civilian employees, District staff, outside agencies, and members of the public.
- Provide effective day-to-day lead direction and technical guidance while maintaining positive working relationships.
- Organize and prioritize a high volume of work and administrative assignments with competing deadlines.

- Handle confidential and sensitive law enforcement information with discretion.
- Interpret and apply established policies, procedures, laws, regulations, and records requirements.

- Work independently while keeping the Police Records Supervisor informed of significant issues.
