Location Fort Smith, Arkansas Job Summary Offers administrative, clerical and programming support to enhance and maximize the efficiency of the Engineering Department in the College of Business and Industry. The position supports the department head and faculty, assists with student success and stakeholder engagement, and maintains faculty/course information essential to programmatic accreditation. Responsibilities include coordination of textbook adoptions, travel, and purchasing. Department Smart Systems Engineering Qualifications Required Education: Associate degree plus two years in an office setting. Preferred Education: Bachelor’s degree. Essential Job Duties and Responsibilities Performs basic reception and clerical duties (25%). Coordinates travel and reimbursements (15%). Creates and tracks departmental requisitions (15%). Supports faculty instructional and research needs (10%). Assists with programmatic accreditation, faculty, and assessment records (5%). Maintains calendar and appointment schedule for engineering department head (5%). Maintains departmental files, records, and logs (5%). Maintains inventory of office and instructional supplies; purchases supplies as needed (5%). Receives and distributes mail and packages (5%). Participates in department or college meetings or events (5%). Participates in UAFS recruitment/yield events as requested (5%). Other Job Duties and Responsibilities Receives, distributes, or responds to mail/email addressed to the department. Assists with event planning and support. Other duties as assigned. Knowledge, Skills, and Abilities Attention to detail. Proficiency in Workday, Microsoft Office, and other databases. Ability to prioritize multiple activities and maintain organization. Strong command of grammar, written and spoken. Discretion and independent judgment. Consistent application of policies and procedures. Service attitude, anticipating needs and seeking solutions for co‑workers and constituents. Working Relationships The Administrative Specialist III has regular contact with students, faculty, and staff, as well as occasional contact with the public. Special Job Dimensions Work performed primarily in an office/classroom setting. Occasional travel and extended hours may be required. The role involves digital data entry, walking, standing, and sitting for extended periods. Visual demands include detailed focus on a computer screen. Employee communicates regularly and may lift items up to 10 pounds. Background Check Requirements Criminal Background Check and Motor Vehicle Registry (MVR) Check.
