Job Description

The Staffing Specialist is responsible for coordinating and managing staffing activities to ensure the organization has qualified employees in the right positions at the right time. This role supports recruiting, scheduling, employee placement, onboarding, and ongoing workforce needs while maintaining strong relationships with candidates, employees, hiring managers, and clients.

Key Responsibilities

• Recruit, screen, interview, and evaluate candidates for open positions.
• Coordinate candidate sourcing through job boards, social media, referrals, and other recruiting channels.
• Review resumes and applications to identify qualified candidates.
• Conduct phone or virtual interviews and coordinate interviews with hiring managers.
• Manage candidate communication throughout the recruitment and hiring process.
• Coordinate new-hire paperwork, background checks, drug screenings, and onboarding requirements as applicable.
• Maintain accurate employee and candidate records in staffing and applicant-tracking systems.
• Coordinate employee assignments, schedules, placements, and staffing coverage.
• Monitor attendance, performance, and staffing needs and communicate concerns appropriately.
• Build and maintain positive relationships with employees, candidates, clients, and internal departments.
• Work with managers to understand staffing requirements and develop effective recruiting strategies.
• Help resolve employee scheduling, placement, and staffing-related issues.
• Ensure staffing practices comply with company policies and applicable employment laws and regulations.
• Prepare staffing reports and track recruiting metrics, fill rates, turnover, and other workforce data.
• Assist with special recruiting, workforce planning, and employee engagement projects as needed.

Qualifications

• High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
• 1–3 years of experience in staffing, recruiting, human resources, customer service, or a related field preferred.
• Strong communication, organization, and interpersonal skills.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Strong attention to detail and ability to maintain confidential information.
• Ability to work independently while also collaborating effectively with a team.
• Professional, service-oriented approach when working with candidates and employees.

• Recruiting and interviewing experience.
• Knowledge of employment and staffing practices.
• Strong problem-solving and conflict-resolution skills.
• Ability to build relationships with candidates and hiring managers.
• Bilingual or multilingual skills may be a plus, depending on organizational needs.
