Position Summary

The Senior Knowledge Management (KM) Analyst will play a key role in developing and supporting the firm’s KM function. This position will report to the COO and will work closely with firm management, technology, practice group leaders, lawyers and our AI partner. As the firm’s first dedicated KM professional, the position will be a combination of strategy and execution – meaning that this person will assist in developing KM at the firm and perform the day-to-day work required to build the process from the ground up.

Essential Duties and Responsibilities

Build and Support the KM Function

• Works with leadership to define a practical approach to KM at our firm and create the roadmap for KM tools, processes and future path.
• Meets with lawyers to gain an understanding of current pain points, the firm’s current processes around KM and what needs to be done to improve it.
• Helps establish the standards, processes and best practices for the KM function
• Helps drive adoption of KM and AI initiatives across the firm.

Data Management and Organization

• Works with lawyers on the implementation of the iManage KM tool.
• Assists with locating prior work product, templates and other information that should be saved in our KM environment.
• Develops the protocols for identifying, reviewing and saving documents in the KM database as well as the process for assessing the continued applicability of the items saved there.
• Works with IT and leadership on data governance policies.
• Supports the cleanup and structuring of documents within the firm’s document management system including tagging, metadata and naming conventions.

AI & Legal Innovation Support

• Works with the AI partner on maximizing the use of the firm’s approved AI tools.
• Helps evaluate, implement and integrate AI tools into workflows.
• Assists in creating and maintaining prompt libraries.
• Tracks usage and satisfaction with our AI tools. Work with vendors on improving usage and results.

Training and Development

• Provides training on the firm’s iManage KM tool.
• Creates a curriculum of training for both KM and AI.
• Works with the AI partner to develop and deliver training on AI tools and their practical application to case and other legal work.
• Creates user-friendly guides, templates and quick-reference materials.
• Meets with lawyers and staff to follow up on training to answer questions and help apply the training in their daily jobs.

Qualifications

• Bachelor’s degree required. Graduation from law school or paralegal certification is a plus.
• 4-7 years of experience in knowledge management, legal operations, practice support or similar role (law firm strongly preferred).
• In-depth understanding of legal practices, law firm workflows and document management practices.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint).
• Experience with document management applications (iManage is a plus).
• Familiarity with AI tools.
• Strong analytical and problem-solving skills.
• Excellent attention to detail and organizational skills.
