HR Onboarding Coordinator

Full-Time / Non-Exempt / Pay Based on Experience

Reporting to the VP of People & Culture, the HR Onboarding Coordinator manages the onboarding process for new team members while supporting the day-to-day administrative operations of the Team Services department. This role is responsible for ensuring a seamless onboarding experience by coordinating pre-employment requirements, maintaining accurate personnel records, and supporting compliance with personnel file requirements.

What You'll Do

• Coordinate the onboarding process from offer acceptance through the team member's first day.
• Manage pre-employment requirements, including background checks, references, licensure verification, and required documentation.
• Process new hire paperwork and maintain accurate personnel records within the HRIS.
• Maintain electronic personnel files and ensure documentation is complete and compliant with company policies and applicable state and federal regulations.
• Coordinate onboarding communications and partner with Talent Acquisition and hiring managers, to ensure a smooth transition for new team members.
• Audit onboarding documentation to ensure accuracy, completeness, and compliance.
• Maintain strict confidentiality while handling sensitive team member information.
• Support Team Services projects, and other HR initiatives as assigned.

Qualifications

Required

• High school diploma or GED required; Associate's degree preferred.
• Previous experience in an office, administrative, customer service, recruiting, or HR environment or a recent college graduate with demonstrated organizational and administrative skills.
• Exceptional attention to detail and commitment to accuracy.
• Strong organizational, time management, and multitasking skills.
• Excellent written, verbal, and interpersonal communication skills.
• Proficiency with Microsoft Office and the ability to quickly learn HR systems and new technology.
• Ability to maintain confidential information and exercise sound judgment.
• Positive, customer-focused attitude with strong follow-through.

Preferred

• Experience with onboarding, or HR administration.
• Experience working within an HRIS or maintaining electronic personnel records.
• Experience in healthcare, senior living, or another regulated environment.

Shift

• Monday - Friday 8:00 am-4:30 pm
• Full-Time, Non-Exempt
• Occasional evenings and weekends as needed
