The Service And Parts Coordinator will provide daily support to the Parts and Service departments within our growing organization. This role will support a wide range of administrative support and customer service activities to facilitate the efficient operation of Precision 360.

Responsible for scheduling and maintaining various components of our service department, the ideal candidate will thrive in a fast-paced environment. This position will work closely with the Service Director to ensure the department maintains an optimum level of performance and customer satisfaction.

Job Functions:

• Work directly with customers and internal service staff to schedule Technicians based on incoming requests.
• Ensure completion of Service Appointment reports and work with the appropriate internal team when information is needed.
• Provide stellar customer service across our internal and external customer base.
• Process part requests for service calls, installations and alignment kits using our internal systems.
• Prepare quotes for various types of incoming requests.
• Act as a backup within the department when necessary for various scheduling and follow-up tasks.
• Review monthly reporting for accuracy and allocate charges to appropriate accounts.
• Research and prepare estimates for rebuilds, track the rebuild through the process and schedule accordingly.
• Assist in annual inventory audits for service van inventory.
• Coordination and tracking of machine work being done in remote locations and billed accordingly.
• Assist with the creation and updating of service dashboards for various reporting functions.
• Track location and coordinate the status of all service alignment kits.
• Revise and update status of Service Appointments in Salesforce.
• Responsible for part ordering; billing, storage, inventory, and returns of parts.
• Ensuring that service parts are ordered efficiently and accurately.
• Parts are quickly made available to technicians for pick-up or occasional delivery to the job site.
• Timely shipment and receiving of inventory and customer orders.
• Generate final Invoice for Parts sold and/or Service performed on D365.
• Ensure final Invoice is received by customer.

Job Qualifications & Competencies:

• 2-4 years of industry experience or related customer service experience.
• Previous administrative experience preferred.
• Salesforce experience is a must.
• Microsoft Dynamics 365 experience preferred.
• Proficient skills in Microsoft Office, including Microsoft Word and Microsoft Excel.
• Excellent customer service and problem-solving skills.
• Ability to work well under deadlines and to multitask.
• Excellent verbal and written communication skills.
• Excellent critical thinking and problem-solving skills.

• Strong handeye coordination and fine motor skills required for precise electrical, mechanical, and diagnostic work.
• Ability to work in industrial environments, with exposure to noise, lubricants, coolants, metal chips, and other manufacturing conditions, while consistently wearing required personal protective equipment (PPE).
