Job Description

Hensel Phelps is seeking a detail-oriented and proactive Marketing Coordinator to join the Project Development team. This individual will play a vital role in supporting a wide range of marketing functions, primarily through the preparation of proposals, qualifications, award submittals, and presentation materials. Additional responsibilities include contributing to social media content, assisting with project milestone coordination and jobsite visits, and supporting community volunteer efforts. This position also offers opportunities to develop creative content while maintaining alignment with the company's brand and messaging standards. The ideal candidate will demonstrate initiative, sound judgment, and discretion while operating in a fast-paced environment. The role requires strong organizational capabilities, the ability to manage multiple priorities under tight deadlines, and a commitment to collaborative success. Key Responsibilities

• Assist with responses to Requests for Qualifications (RFQs) and Requests for Proposals (RFPs), including presentations and interviews, collaborating with senior staff to write, edit, verify, design, and format technical and non-technical content for proposals and marketing materials.

• Create marketing materials including informational documents, displays, and brochures that contribute to the overall strategic communications planning and implementation.

• Ensure proposals and marketing deliverables clearly communicate the overall theme, accurately reflect technical scope and team qualifications, meet RFP requirements, and are timely, high-quality, and visually compelling through thorough quality control reviews.

• Help maintain project and employee data, including photography, by regularly updating company-wide databases, which may include visiting jobsites to collect and upload accurate, up-to-date information.

• Generate reports and effectively manage information within internal systems to support project and marketing efforts.

• Collaborate with office leadership and project teams on internal initiatives such as presentations, tradeshows and special events.

• Keep the Project Development team informed on key project milestones and public relations activities, providing background and facilitating approval processes.

• Coordinate and write industry award submittals.

• Engage with local industry groups and nonprofit organizations as an active member, contributing to community and professional development.

Qualifications

• Bachelor's degree in marketing, public relations, communications or related field

• 1-3 years of marketing experience, preferably in the A/E/C industry

• Must be proficient in Microsoft Office suite software (Word, Excel, PowerPoint, etc.)

• Must be proficient in Adobe Creative Suite (InDesign, PhotoShop)

• Experience with CRM systems

• Advanced writing, editing, and proofreading skills

• Strong ability to multi-task and pay close attention to details

• ?Self-motivated with a collaborative mindset and the ability to work independently, within teams, and across departments

• Ability to develop and foster professional relationships

Physical Requirements

• The person in this position frequently communicates with employees and external stakeholders regarding a variety of topics related to office administration.

• Constantly computes, analyzes, and conceptualizes mathematical calculations and formulas.

• Constantly reads written communications and views email submissions.

• The person in this position regularly sits in a stationary position in front of a computer screen.

• Visual acuity and ability to operate a vehicle as certified and appropriate.

• Rarely exposed to high and low temperatures

Education

BA degree in marketing or related field of study 4 years of marketing experience and /or a combination of education and experience.
