Position: Operations Manager (Medical Billing, Etc.)

Company: Providential, Corp. (DBA Sudbury River Home Care)

Employment Type: Full-Time

Reports To: Managing Director / Senior Management

Position Summary

The Operations Manager is responsible for overseeing the company’s billing, accounts receivable, human resources, regulatory compliance, revenue cycle management, and administrative operations. This position requires a hands-on, organized, and resourceful professional who can improve systems, resolve problems, manage competing priorities, and support the company’s continued growth. The Operations Manager will also identify opportunities to improve efficiency through technology, automation, and artificial intelligence (AI).

Responsibilities

1. Financial Administration & Compliance

• Manage billing through the company’s operations software and the Optum platform.

• Match payments to invoices, reconcile discrepancies, and maintain accurate financial records.

• Prepare biweekly Accounts Receivable (A/R) reports, highlighting overdue balances and collection issues.

• Manage HR-related matters and ensure compliance with applicable federal, state, and local government requirements.

2. Oversee Company Operations

• Continuously improve operational procedures, incorporating AI and automation where appropriate.

• Maintain expertise in the Swyft Ops operating system and expand the company’s use of its tools and capabilities.

• Organize, maintain, and improve the company’s Microsoft OneDrive document storage and filing systems.

3. Oversee Revenue Cycle Management

• Manage client and caregiver onboarding, documentation, and service authorizations.

• Oversee billing, authorizations, and payment processes for Veterans Administration (VA), private-pay, Medicaid, long-term care insurance (LTCI), and babysitting-platform clients.

• Ensure accurate and timely billing through Office Ally and other applicable software platforms.

• Pursue outstanding invoices promptly and assertively, resolving payment delays and discrepancies.

• Lead collection efforts and maintain accounts receivable at fewer than 30 days whenever reasonably achievable.

4. Human Resources Duties, as Needed

• Improve employee onboarding procedures, including the collection, organization, and secure storage of required documentation.

• Manage the organization's Unemployment issues and State Unemployment Account.

• Address sick-pay, COVID-related pay, and unemployment claims.

• Analyze workers’ compensation and payroll costs, evaluating options to identify the most advantageous arrangements for the company.

• Review liability insurance coverage and pricing and recommend the best available options.

5. Other Duties

• Update, maintain, and file all required state registrations and related documentation.

• Design, implement, and manage performance metrics for all employees.

• Support business development by preparing and coordinating documentation required for approval by programs, insurers, and other organizations, including Medicare, Medicaid, and LTCI providers.

Required Skills & Qualifications

• Financial and analytical skills: Experience with billing, accounts receivable, payment reconciliation, collections, and financial reporting.

• Technology proficiency: Strong computer skills and the ability to learn and manage operational software, Microsoft Office, OneDrive, and billing platforms.

• Problem-solving: Ability to identify operational weaknesses, investigate discrepancies, resolve issues, and implement practical solutions.

• Organizational ability: Excellent attention to detail, document management, time management, and the ability to handle multiple priorities independently.

• Leadership and HR skills: Ability to manage sensitive employee matters, exercise sound judgment, maintain confidentiality, and hold employees accountable.

• Regulatory compliance: Ability to understand, track, and meet applicable government, employment, insurance, and documentation requirements.

• Process improvement: Interest in using AI, automation, and technology to improve productivity, accuracy, and efficiency.

• Communication and collections: Clear written and verbal communication skills, professional assertiveness, and the ability to follow up consistently with clients, insurers, employees, and other parties.

• Personal qualities: Level-headed, dependable, proactive, resourceful, adaptable, and comfortable making decisions under pressure. Must have a good sense of humor, a positive attitude, and the ability to maintain perspective when dealing with challenging situations.

Success in This Position: The Operations Manager is expected to improve operational efficiency, maintain accurate and timely billing, strengthen collections, ensure compliance, improve employee accountability, and support the company’s continued growth.
