Faculty Support Specialist

Responsibilities Provide administrative and tactical support to multiple faculty members, acting as a liaison between students, instructors, and various HBS and University departments. Assist faculty with short‑term and long‑term projects based on business needs and team requirements. Support faculty during teaching, including assembling and editing syllabi, helping with grading, preparing materials and presentations, and coordinating class visitors. Manage and coordinate complex calendars, scheduling appointments, meetings, and events. Perform basic online research, retrieving books, articles, and other information. Prepare documents for articles, cases, teaching and research materials, including proofreading, formatting exhibits, citations, and organizing files. Compose, prepare, and edit professional correspondence that may be confidential. Build strong relationships with stakeholders, including faculty, staff, and external partners. Coordinate complex travel arrangements, itineraries, and travel visas. Prepare, track, and process expense reimbursements accurately and in a timely manner. Perform office management duties such as ordering supplies, maintaining a clean environment, greeting visitors, and responding to correspondence on behalf of faculty. Manage the administrative process for faculty and doctoral recruiting, including distribution of candidate materials, planning and coordinating visits, and ensuring compliance with recruiting guidelines. Organize and plan logistics for seminars, research conferences, and other unit events. Be present on‑site and engage directly with colleagues and constituents to build trust and collaboration. Perform other duties as assigned. Basic Qualifications High School Diploma or GED required. 3+ years of experience in an administrative, clerical, executive support, coordination, or related professional capacity. Education beyond high school may be credited as equivalent experience. Hands‑on experience using Microsoft Office (Word, Excel, PowerPoint, etc.) is required. Candidates advanced in the interview process may be asked to complete a hands‑on skills assessment involving Microsoft Office tasks. Additional Qualifications and Skills High attention to detail, confidentiality, and strong customer‑service orientation. Ability to work independently and as a valuable team member. Reliability, resourcefulness, and a track record of following through to surpass expectations. Willingness to work in a collaborative environment supporting varied faculty, colleagues, and changing assignments. Ability to adapt quickly to changing staffing assignments, responsibilities, tasks, and feedback. Proficiency in navigating and using major social media platforms for basic content creation, audience engagement, and trend analysis. Work Schedule and Compensation 35 hours per week, overtime eligible. Salary range $58,000 – $63,000, commensurate with experience. Work Location This is a hybrid position requiring onsite presence at the Boston, MA campus three days per week. Employees may work remotely on other days as allowed by business needs. Work outside Massachusetts must comply with university policy and be approved by the department. Visa Sponsorship Harvard University does not sponsor visas for this position.
