Dispatcher / Customer Service Coordinator

Position Summary

We are seeking a highly organized, customer-focused Dispatcher / Customer Service Coordinator to join our growing team. This is an in-office position responsible for coordinating daily service operations, supporting technicians in the field, communicating with customers, and ensuring work orders are completed accurately from dispatch through invoicing.

The ideal candidate thrives in a fast-paced environment, enjoys multitasking, has excellent communication skills, and takes pride in providing exceptional customer service.

What You'll Do

• Schedule and dispatch service technicians for repairs, preventative maintenance, installations, and emergency service calls.

• Optimize technician routes for efficiency and productivity.

• Monitor technician schedules and adjust throughout the day as priorities change.

• Communicate schedule updates with customers and technicians.

• Create and manage customer accounts and work orders in Service Fusion.

• Verify customer, equipment, warranty, and billing information.

• Follow up with customers regarding appointments, completed work, and outstanding estimates.

• Review technician notes, photos, labor, and parts for accuracy.

• Process completed work orders for invoicing.

• Coordinate with accounting regarding billing questions.

• Assist with collections on outstanding invoices.

• Schedule recurring preventative maintenance visits.

• Serve as the primary communication link between customers, technicians, vendors, and management.

Qualifications

• Previous dispatch, scheduling, or customer service experience preferred.

• Excellent verbal and written communication skills.

• Strong organizational and multitasking abilities.

• Ability to remain calm under pressure.

• High attention to detail.

• Proficiency with Microsoft Office (Word, Excel, Outlook).

• Ability to quickly learn Service Fusion or similar field service software.

Preferred Industry Experience

Experience in one or more of the following industries is preferred:

• Commercial Ice Machines

• HVAC

• Refrigeration

• Appliance Repair

• Plumbing

• Electrical

• Field Service Management
