Construction Project Coordinator

Industry: Commercial Construction / General Contracting

Pay: $65,000-$75,000

Position Summary

We are seeking a highly organized and detail-oriented Construction Project Coordinator to support project managers and field teams throughout all phases of commercial construction projects. The ideal candidate will have experience working for a general contractor and possess strong administrative, scheduling, communication, and document control skills. This role is essential in ensuring projects remain on schedule, within budget, and compliant with contract requirements.

Key Responsibilities

• Provide administrative and operational support to Project Managers and Superintendents.
• Assist with project startup activities, including contract review, permit tracking, and project documentation.
• Manage and maintain project records, RFIs, submittals, change orders, meeting minutes, and closeout documents.
• Coordinate project schedules and communicate updates with internal teams, subcontractors, vendors, and owners.
• Track project progress, milestones, and deliverables to ensure timely completion.
• Monitor subcontractor documentation, insurance certificates, lien waivers, and compliance requirements.
• Assist in procurement activities, including material and subcontractor coordination.
• Schedule and coordinate project meetings, prepare agendas, and distribute meeting minutes.
• Support project accounting functions, including invoice processing, purchase orders, budget tracking, and job cost reporting.
• Maintain document control through company software systems and ensure accurate project filing.
• Assist with project closeout activities, including punch list management, warranty documentation, and final turnover packages.
• Foster strong relationships with clients, subcontractors, architects, and project stakeholders.

Qualifications

• Associate’s or Bachelor’s degree in Construction Management, Engineering, Business, or related field preferred.
• 2+ years of experience in construction project coordination, project administration, or project engineering within a general contracting environment .
• Understanding of commercial construction processes, contracts, scheduling, and project documentation.
• Experience managing RFIs, submittals, change orders, and construction correspondence.
• Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
• Experience with construction management software such as Procore, Autodesk Construction Cloud, Viewpoint, CMiC, Sage, or similar platforms preferred.
• Ability to manage multiple projects and priorities simultaneously.
• Excellent verbal and written communication skills.
• Strong organizational skills and attention to detail.

Job Type & Location

This is a Permanent position based out of Pewaukee, WI.

Pay and Benefits

The pay range for this position is $20.00 - $35.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
