Job Description The Administrator provides support to the Associate Executive Director, Technology Services and is responsible for ensuring the smooth running of day-to-day administration and management of all areas within Technology Services. This individual will be responsible for: Preparing complex correspondence, reports, and presentations often using Word, PowerPoint, Excel, and other graphics and project planning programs as appropriate. Compiling, distributing, entering and verifying expenses for all accounting reports. He/she will interact with accounting, and carry out troubleshooting functions as necessary. Generates purchase orders, processes invoices and verifies the monthly statements. Monitoring the budget, including tracking expenditures and providing monthly reports to AED. Managing individual and department expense reports and processing through to payment. Supporting the AED’s special projects that may include, gathering and summarizing data and analyzing information. Organizing and maintaining files of AED's correspondence and records, following up on pending matters. Receiving and screening telephone calls, letters, and/or visitors. Answering routine questions and furnishing information to facilitate efficient operations. Scheduling appointments and making arrangements for meetings, conferences, and travel. Managing weekly staff Attendance Records and processes staff Travel Expense Reports, including maintaining records of same. Qualifications A College degree is preferred or equivalent additional experience with a minimum of 5 years’ experience supporting C-level management in a Technology focused entity or Technology focused role required.In addition candidate must have: Excellent communication skills both written and verbal, and be able to interact with internal and external contacts in a professional and efficient manner. A high level of proficiency in advanced applications of office computer software such as Microsoft Office Suite and SharePoint. Ability to properly multi-task and prioritize work by considering its risk, importance, urgency, and potential business, organizational, or customer implications. Highly professional, polished, reliable and strong self-starter with a "can do" attitude in addition to a flexible approach. Extremely high level of discretion pertaining to confidential information High sense of urgency, drive and willingness to do what it takes to get the job done Keen ability to follow instructions and understand those instructions with little or no follow up.
