We’re looking for a highly organized and detail-oriented Senior Events Specialist to manage the backend execution of our event marketing efforts. This role focuses on event planning, logistics, CRM accuracy, registration tracking, vendor coordination, and marketing support to ensure every event runs smoothly and drives measurable results.

What You’ll Do

• Coordinate seminar logistics, including venues, schedules, food and beverage, printed materials, and attendee lists.
• Track event budgets, planned expenses, and event ROI.
• Prepare name tags, registration sheets, seating charts, and event materials.
• Manage event registration lists and provide daily registration updates.
• Maintain accurate CRM data, including lead uploads, tagging, status updates, referral tracking, and cleanup.
• Send timely follow-up emails to attendees and prospects.
• Manage client event timelines, vendor communication, client communication, and day-of execution.
• Coordinate event marketing assets such as mailers, banners, handouts, programs, and promotional items.
• Ensure brand consistency across all event communications and materials.
• Track event performance and report KPI results by event and audience segment.
• Support media coordination, including TV/radio interview scheduling, talking points, calls to action, and lead source tracking.

We’re Looking For Someone Who Has

• 3–5 years of event planning, event marketing, or client event management experience.
• Background in retirement, financial services, or professional services is strongly preferred.
• Strong experience with event timelines, logistics, registration, and follow-up.
• Vendor management and budget tracking experience.
• Ability to calculate goals, forecast ROI, and report event results.
• Strong CRM management skills and high attention to data accuracy.
• Excellent organization, communication, and follow-through.
• A self-starter mindset with the ability to anticipate needs and take initiative.
• Experience with client-focused events preferred over tradeshow-heavy events.

Nice to Have

• TV or media buying coordination experience.
• Event planning certification or related credential.
• Experience supporting seminars, webinars, client appreciation events, or advisor-led events.
