Medical Assistant(Front and Back) / Phlebotomist – Primary Care

(Fluency in Mandarin and English Required)

Position Summary

The Medical Assistant / Phlebotomist is responsible for providing comprehensive support in a primary care medical office, including front office administrative duties, back office clinical support, and phlebotomy/specimen collection. This position works closely with providers and the clinical team to ensure efficient patient flow, accurate documentation, quality patient care, and safe handling of laboratory specimens.

Front Office Duties

• Greet and check in patients in a professional, courteous, and timely manner.
• Verify patient demographics, contact information, insurance, and identification.
• Register new patients and update existing patient information.
• Answer and manage incoming phone calls and direct calls appropriately.
• Schedule, reschedule, and confirm patient appointments.
• Assist with referrals, authorizations, and other patient coordination as directed.
• Collect copayments, deductibles, and other patient balances when applicable.
• Check patients out and schedule follow-up appointments.
• Maintain accurate and complete patient records.
• Scan, upload, and organize medical records, referrals, laboratory results, and other documents.
• Communicate with pharmacies, laboratories, specialists, and other healthcare facilities as needed.
• Assist patients with forms, medical records requests, and general office questions.
• Maintain patient confidentiality and comply with HIPAA requirements.
• Assist with maintaining an organized, professional, and welcoming front office.
• Support overall patient flow and assist other staff members as needed.

Back Office / Clinical Medical Assistant Duties

• Prepare examination rooms and ensure appropriate supplies and equipment are available.
• Room patients and obtain and document vital signs, including blood pressure, pulse, temperature, respiratory rate, height, and weight.
• Obtain and document patient medical history, medication lists, allergies, and chief complaints.
• Prepare patients for examinations and procedures.
• Assist providers during routine examinations and minor office procedures.
• Perform and document basic clinical procedures within scope of training and applicable regulations.
• Administer injections and vaccinations as directed and within applicable scope of practice.
• Perform point-of-care testing, such as urine testing, glucose testing, pregnancy testing, and other office tests as applicable.
• Prepare patients and equipment for diagnostic procedures.
• Perform or assist with EKGs and other routine diagnostic testing as directed.
• Clean, disinfect, and maintain examination rooms and clinical equipment.
• Stock exam rooms and clinical supply areas.
• Monitor expiration dates and properly rotate medical supplies.
• Prepare instruments and supplies for procedures.
• Follow infection-control, OSHA, and standard precaution procedures.
• Assist with patient follow-up, including communicating provider instructions as directed.
• Review and document laboratory and diagnostic results in accordance with office procedures.
• Assist providers with electronic health record documentation and clinical workflow.
• Maintain accurate and timely documentation in the patient's medical record.
• Dispose of sharps and biohazardous materials according to established procedures.
• Respond appropriately to urgent patient needs and notify the provider of abnormal findings or changes in patient condition.
• Maintain patient privacy, confidentiality, and professionalism at all times.

Phlebotomy / Laboratory Duties

• Perform venipuncture and capillary blood collection safely and accurately.
• Identify patients using appropriate identifiers before specimen collection.
• Explain blood draw and specimen collection procedures to patients and address questions or concerns.
• Select appropriate collection tubes, needles, and supplies based on ordered tests.
• Collect blood and other specimens according to laboratory requirements.
• Properly label specimens at the time of collection.
• Verify specimen requirements and ensure specimens are collected, handled, stored, and transported appropriately.
• Process specimens according to laboratory and office protocols.
• Centrifuge, aliquot, package, and prepare specimens for laboratory pickup when required.
• Perform point-of-care laboratory testing as trained and authorized.
• Monitor specimen quality and identify specimens that are inadequate, mislabeled, contaminated, or otherwise unsuitable for testing.
• Follow proper procedures for recollection when necessary.
• Maintain accurate documentation of specimen collection and processing.
• Maintain appropriate aseptic technique and infection-control practices.
• Clean and disinfect phlebotomy and laboratory work areas.
• Maintain and restock phlebotomy and laboratory supplies.
• Monitor expiration dates of laboratory supplies and reagents.
• Handle and dispose of sharps, biohazardous waste, and other laboratory materials according to applicable safety procedures.
• Follow laboratory procedures, OSHA requirements, infection-control standards, and applicable regulatory requirements.
• Communicate specimen issues or laboratory concerns promptly to the appropriate staff member or provider.
