Title Alumni Coordinator Department Pellissippi State Foundation Classification 2 – hybrid Pay Rate $45,310-$55,910 per year. Pay will be determined based on related work experience above required. To be considered in determining pay, all related work experience must be listed on the application. Position Summary The purpose of this job is to plan and implement a comprehensive alumni awareness program for Pellissippi State graduates and former and current students to cultivate the interests and philanthropic support of college alumni and community members in collaboration with the director. This work includes leading the planning and implementation of the Swing Big for Students annual fundraiser. This position also provides administrative support for the Director of Annual Giving and Donor Engagement. Essential Functions 60% – Program Development Develop and implement a comprehensive alumni awareness and fundraising program for Pellissippi State graduates and former and current students to strengthen relationships and cultivate the interests and philanthropic support of all constituents. Activities include, but are not limited to, Where Are They Now Wednesday features, Distinguished and Volunteer Alumni Awards promotions and processes, workshops and networking events, graduation/reunion events, and other opportunities designed to highlight and engage alumni. Communicate with alumni through a variety of methods, including but not limited to face‑to‑face, email, phone, enewsletters, and social media. Ensure the accuracy of alumni data and maintain alumni documents. Conduct prospect research and maintain a portfolio of alumni for cultivation, solicitation, and stewardship of annual gifts. Collaborate with faculty and staff across the College to strengthen and foster alumni engagement. 30% – Funding & Sponsorship Work with the Director to implement funding opportunities that will advance the mission of the College and the Pellissippi State Foundation. Assist in the solicitation of sponsors for Foundation and Alumni fundraising events. Provide leadership to plan, organize, and execute the Swing Big for Students annual fundraising event from inception to completion through direct solicitation of sponsorships and facilitation of a group of board volunteers, community leaders, and foundation staff. Develop event timelines, budgets, and marketing plans to maximize participation and fundraising outcomes. Coordinate with vendors, venues, and internal partners. Track and analyze event metrics including revenue, expenses, and ROI. 5% – Administrative Support Provide administrative support to the Director of Annual Giving and Donor Engagement. 5% – Other Duties Perform other duties as assigned to fulfill the strategic priorities and mission of the College. Represent the College at community events and in community organizations. Participate in professional development activities. Participate in campus committee activities and other duties as assigned. Job Requirements A Bachelor’s Degree is required. 3 years of professional experience in one or more of the following areas: alumni relations, donor relations, fundraising, business development, event planning, community engagement, volunteer management, customer service, communications, marketing, higher education, or relationship management. Preferred: Experience coordinating events, programs, projects, or volunteer initiatives; experience working in higher education, nonprofit organizations, membership organizations, or community focused environments; experience with constituent relationship management (CRM) databases, fundraising software, or similar customer engagement platforms. Part‑time work experience is calculated at 50% credit of full‑time work experience. Skills and Abilities Plan and implement a comprehensive program of annual philanthropic support for the College from alumni and external constituents. Plan and implement a comprehensive program for alumni. Possess exceptional people skills. Communicate effectively and express ideas clearly and concisely both in written and oral communications, including proposals and public speaking. Use computer technology to conduct research and access and maintain data and records. Communicate with alumni and others using various technological opportunities such as social media platforms, blogs, e‑mails, newsletters, and such. Maintain effective working relationships with internal and external constituents. Maintain confidentiality regarding all Foundation matters. Manage multiple priorities, meet deadlines, work independently and on teams, and perform job functions with minimal supervision. Project a strong positive image of the college through personal interactions with alumni and others. Know and use business etiquette, marketing, fundraising, and public relations techniques. Understand the college’s mission, goals, academic programs, and organizations. Possess effective organizational skills, ability to multi‑task. Have significant knowledge of personal computers, printers, copiers, multi‑line telephones, fax machines, and other standard office equipment. Also have a working knowledge of Microsoft Office software and proficiency in using data‑management programs. Network to find alumni, resources, and sponsors. Engage in the College’s mission and values. Physical Demands Regularly required to sit, stand, see, talk, and hear. Set‑up for programs and events, including handling supplies, boxes, decorations, equipment, tables, food, and furniture. Items of more than 50 lbs may be moved and lifted. Organize event supplies and signage in storage locations, which may require lifting overhead or at lower levels. During certain events the position may require continuous standing. Communicate with a variety of constituents through various methods. Ability to hear and speak clearly when interacting with individuals in person or by phone. Ability to see detailed documents, computer images, and programs. Attend various meetings, networking functions, and set‑up programs. Hazards Potential exposure to illness or unforeseen incidents such as workplace or campus violence. Minor cuts from paper. Eye strain and back strain from computer work. Possible lifting injuries.
