Advanced Medical Support Assistant

Summary The incumbent serves as a Medical Support Assistant in Home Based Primary Care for HBPC Nurse Manager and Medical Director of the Home Based Primary Care (HBPC) Program of Geriatrics. Responsibilities VA Careers - Medical Support Assistant: Receives telephone calls including those from seriously ill patients or their family members. Ascertains the identity of the caller and the nature of the call to triage for urgency. Receives and opens incoming correspondence, screening items to be handled personally and appropriately forwards or establishes suspense files for those items requiring later action by staff. Assures that critical calls and correspondence are forwarded appropriately and that all patient information is made available to clinical staff. Creates, copies, edits, stores, retrieves, and prints a variety of correspondence and documents (letters, minutes, memos, reports, calendar, etc.), from handwritten drafts into final copy. May be required to draft letters of response and minutes from meetings on his/her own initiative. Is expected to independently screen all outgoing correspondence for conformance with regulations and station policy, including spelling, grammar, capitalization, punctuation and format. Receives visitors to the HBPC office, including patients, family members, representatives of companies and facilities and various other staff members. Alerts staff, particularly the Coordinator, when a problem is anticipated, to minimize its effects. Maintains an active database of HBPC patients and assigned case managers. Assembles, prepares, and submits patient visit logs, reports of staff time, patient admissions, discharges, and encounter forms. Monitors the program budget, and keeps director and coordinator aware of the budget status. Develops and maintains HBPC reports using Excel, Power Point, and other software packages to create and compile weekly, monthly, quarterly, and annual reports. Is responsible for compiling appropriate information to submit the GSA vehicle usage report to Engineering on a monthly basis. Is responsible to see that government cars are available for the various team members' home visits and keeps accurate records for statistical purposes. Is responsible for office equipment maintenance, including toner and developer replenishment in both Xerox machine and printers. Is responsible for supply maintenance for the section, including forms, copy paper, diskettes, index cards, pencils, pens, etc., initiating supply requests when appropriate. Prepares all travel and/or tuition requests and all related vouchers when needed. Serves as primary timekeeper for the HBPC and Community Health staff. Performs other directly related duties as assigned. Work Schedule: 7:45am-4:30pm Monday-Friday Telework: Ad-Hoc Virtual: This is not a virtual position. Qualifications Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Education. High School diploma, General Education Development equivalency (GED) certificate, or proficiency certificate or territorial-level Board or Department of Education English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: Medical Support Assistant (Advanced), GS-06 GS-6 Advanced Medical Support Assistant Requirement. In addition to meeting the basic requirements for the occupation, applicants must also meet the grade level requirements. Applicants must have one year of experience equivalent to the GS-5 grade level. In addition to the experience above, the candidate must demonstrate all of these knowledge, skills, and abilities (KSAs): 1. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care. 2. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc. 3. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians 4. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g., medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met. 5. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations. 6.Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers.
