We are seeking a detail-oriented and highly organized Marketing Administrator to support marketing initiatives, proposal coordination, and business development activities. This role is responsible for maintaining marketing resources, assisting with proposal preparation, tracking key deadlines, and ensuring the accuracy of business development and compliance-related information. The ideal candidate thrives in a fast-paced environment, effectively manages multiple priorities, and demonstrates exceptional attention to detail.

Work Schedule

This position is fully onsite and requires attendance five days per week.

Key Responsibilities

• Monitor procurement and opportunity platforms for potential business opportunities.

• Assist with the preparation, editing, formatting, and production of proposals, qualification packages, and marketing materials.

• Maintain and organize marketing assets, templates, project information, and content libraries.

• Update and manage reference materials, project records, and business development documentation.

• Coordinate schedules for conferences, trade shows, networking events, and other marketing initiatives.

• Format, edit, and revise documents, presentations, graphics, and marketing collateral.

• Track and maintain records related to certifications, registrations, and compliance requirements.

• Enter, update, and maintain data within CRM and business development systems.

• Support marketing and business development efforts through administrative and project-based assignments.

• Perform additional duties and special projects as needed.

QualificationsEducation & Experience

• Bachelor’s degree in Marketing, Communications, Business Administration, Journalism, or a related field preferred.

• Equivalent professional experience may be considered in lieu of a degree.

• Three or more years of experience supporting marketing, business development, proposal coordination, or administrative functions.

• Experience in a professional services environment strongly preferred.

• Familiarity with proposal development, procurement processes, and compliance documentation is a plus.

Technical Skills

• Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.

• Experience with Adobe Creative Suite, particularly InDesign, or similar design software.

• Familiarity with CRM platforms and database management systems.

• Strong proofreading, editing, and document formatting skills.

• Ability to adjust layouts, graphics, and visual content while maintaining consistency and accuracy.

Job Type & Location

This is a Contract to Hire position based out of Irvine, CA.

Pay and Benefits

The pay range for this position is $50000.00 - $65000.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
