T&I Senior Marketing Specialist 1

GAI seeks a skilled, highly motivated, results‑driven T&I Senior Marketing Specialist 1 to join our dynamic Transportation & Infrastructure team. This challenging and rewarding position will include coordinating the pursuit process and preparation of winning proposals, LOIs, qualifications, and presentations; producing marketing collateral; and supporting business‑development goals in collaboration with GAI's business sector leaders, marketing, technical, and administrative staff. Essential Duties and Responsibilities Participate in kick‑off meetings, proposal task scheduling, review, production, and delivery activities Follow through with assigned proposal tasks to meet critical deadlines Coordinate with internal and external points of contact to gather requested information and materials Track proposal efforts and ensure scheduled milestones are met Assist in writing marketing and technical content Proofread to ensure continuity and compliance with legal, technical, and marketing specifications Support presentation efforts including development, rehearsals, materials, and logistics Maintain and populate detailed data in GAI's Deltek Vantagepoint database Provide assistance of marketing activities to support pursuit, client, and business plan objectives, including conferences, events, sponsorships, design award submittals, speaker proposals, brochures, service briefs, project profiles, etc. Assist in carrying out other programs and projects as identified Qualifications 10+ years of related experience as a proposal specialist/coordinator; prior AEC industry experience preferred Associate or bachelor's degree with a focus in business, marketing, or related area Competency Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint Proficiency with Adobe Creative Suite Deltek Vantagepoint (or similar database programs) experience is a plus Competent proofreading and editing skills Excellent communication and organizational skills Able to document and process information quickly and accurately, with strong attention to detail Flexible and able to balance priorities and manage multiple tasks simultaneously within tight schedules Able to work both independently and as part of a team Able to work flexible hours, including nights and weekends, on a limited basis, to meet proposal deadlines Able to travel to surrounding states several times throughout the year Must have a vehicle for local travel (required) Technical Responsibilities Collaborates under direction and supervision of senior staff across one or more of the following areas: proposals, special projects, business development activities, data management Leads smaller/mid‑size proposal efforts; supports larger/more complex efforts under senior supervision Leads and supports special projects under direction and supervision of senior staff Supports business development activities, including sponsorships, advertising, client events, conferences, etc.; leads smaller/mid‑size activities, supports larger ones under senior supervision Leads updating of data management systems related to assignments one is leading; may lead special data management projects under senior supervision Project and Task Management Demonstrates progress in performing task management Management Responsibility Assists with supervision of technical studies within assigned tasks; may serve as task manager on small to medium tasks requiring specialized technical expertise; maintains GAI's procedures and protocols; assists with identifying and scoping technical studies required for projects Guidance and oversight from Project Managers and task managers in specific marketing areas Communication Skills Possess effective oral and written communication skills; interact well with staff, Project and Task Managers, various departmental managerial staff, and clients on technical issues at regular project meetings Why GAI?
