Aspen Technical Staffing is seeking a highly organized and detail-oriented Project Assistant for a contract-to-hire opportunity for our client in Vancouver, WA. This role provides critical administrative and coordination support for active company projects and project teams. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities, and is comfortable supporting several managers and stakeholders simultaneously.

Key Responsibilities

• Provide general administrative support for company projects.
• Organize and maintain project files, filing systems, and project communications.
• Track project status and prepare monthly progress reports; maintain project tracking systems.
• Update record copies, engineering/project documentation, and change records.
• Provide research support and information to assist with project-related inquiries.
• Record meeting minutes for Project Manager and team meetings.
• Answer and route incoming phone calls.
• Collect, organize, and distribute client bills and invoices.
• Prepare memos, correspondence, reports, and other project documentation.
• Coordinate travel arrangements and internal services supporting project needs.
• Reserve conference rooms and coordinate client, vendor, and supplier meetings, presentations, and interviews, including setup and cleanup.
• Schedule client interviews, presentations, and project-related meetings.
• Maintain project calendars, rosters, and scheduling updates.
• Perform data entry for project contact lists and execution plans.
• Perform other duties as assigned.

Requirements

• High School Diploma or GED required.
• Prior office or clerical experience preferred.
• Proficiency in Microsoft Word, Excel, Access, and PowerPoint required.
• Strong organizational and time-management skills.
• High attention to detail and accuracy.
• Ability to manage multiple tasks and meet deadlines.
• Strong written and verbal communication skills.
• Ability to work independently and collaboratively within a team environment.
• Strong customer-service/client-service mindset.
• Experience supporting multiple managers or project teams preferred.
