Hours : Full-time, In Office

We are partnering with a dynamic investment firm in San Francisco to identify an exceptional Executive Assistant to support senior leadership in a fast-paced, high-touch environment. This role requires a polished, proactive professional who thrives managing complex logistics, maintaining confidentiality, and anticipating executive needs with precision and discretion.

Key Responsibilities

Executive Support

  • Manage complex and ever-changing calendars across multiple time zones.
  • Coordinate internal and external meetings, including scheduling, materials preparation, and meeting logistics.
  • Serve as a liaison between executives, investors, clients, and internal teams.
  • Handle confidential information with the highest level of professionalism and discretion.
  • Assist with ad hoc projects and administrative initiatives as needed.

Travel & Logistics

  • Coordinate detailed domestic and international travel arrangements, including flights, hotels, car services, dining reservations, and itineraries.
  • Prepare comprehensive, hour-by-hour travel itineraries and contingency plans.
  • Track and reconcile expenses and ensure timely submission of reports.

Office & Team Support

  • Assist with planning team events, offsites, and firmwide meetings.
  • Support visiting executives and collaborate closely with office operations.
  • Help maintain a seamless and professional office experience for internal and external stakeholders.

Qualifications

  • Bachelor’s degree preferred.
  • Minimum of 5 years of experience supporting senior executives within finance, private equity, venture capital, hedge funds, or similar professional services environments.
  • Exceptional organizational skills with strong attention to detail and follow-through.
  • Ability to manage competing priorities and remain composed under pressure.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams.
  • Strong written and verbal communication skills.
  • Proven ability to handle sensitive information with discretion and sound judgment.
  • Professional, resourceful, and highly adaptable with a service-oriented mindset.
